We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! Duties
Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure seamless workflow.
Manage vendor relationships, negotiate contracts, and coordinate supplies to keep the office well-stocked and efficient.
Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations.
Administer payroll processing, human resources functions such as onboarding, employee records management, and benefits administration.
Support event planning and coordination for meetings, training sessions, and company functions to promote team engagement.
Supervise administrative staff and provide training & development opportunities to foster a motivated and skilled team.
Maintain organized filing systems--both digital and physical--and ensure compliance with privacy policies.
Assist with budgeting efforts by tracking expenses and preparing financial reports to support strategic decision-making.
Manage medical office or specialized administrative tasks if applicable, ensuring compliance with industry standards.
Experience
Proven experience in office management or administrative roles within a professional environment.
Demonstrated bookkeeping expertise with proficiency in QuickBooks or comparable software.
Supervising experience with the ability to lead teams effectively and foster a collaborative work environment.
Strong background in human resources functions such as payroll processing, employee onboarding, and benefits administration.
Excellent communication skills--both verbal and written--with a focus on phone etiquette and client interaction.
Skilled in schedule management, calendar organization, and multi-tasking across diverse responsibilities.
Experience in event planning, vendor management, filing systems, and office procedures is highly desirable.
