Local growing manufacturing company is looking to fill the hybrid position of Office Manager and Bookkeeper. We are looking for someone who wants more than just "a job", but someone who truly cares about the company, its employees and contributes to the success of the company. As a smaller organization there are many hats to be worn in this position. Additionally, the job can be structured in many ways to meet the schedule / needs of the right candidate.
Bookkeeping Duties
This is the primary and senior position within the company for all bookkeeping and finance activities
Use QuickBooks for Manufacturing to its greatest extent to help guide the business
Manage all incoming purchase orders and convert them to sales orders
Manage all invoicing, work closely with the team to assure invoices are issued on time
Follow-up on all payments and actively manage the over 30 accounts
Manage the AR and the AP, assure all entries are made to the proper account
Reconcile cash daily, assure deposits are made immediately
Monitor all bank balances
Prepare the consolidated weekly payroll for processing after review
Update and maintain all procedures for accounting and plant administration
Prepare weekly cash forecast for distribution to President and CFO
Keep track of administrative / financial matters related to jobs
Office Manager Duties
Addressing daily tasks such as mail, UPS
Supporting office employees with IT, phone and other required services
Taking charge of time keeping and attendance for all employees, including tracking PTO
Keeping a pulse on employees on any HR issues
Handling all shipping paperwork, bills of lading, trucking etc.
Scheduling pickup and deliveries
Assisting shop employees with administrative tasks
Scheduling of visits for customers, contractors
Maintain an inventory of necessary office supplies
Process all required paperwork and do orientation for all new hires
Organize all NDA's and other files both electronic files and paper files
Keep President informed of anything important relating to the office and jobs
Other administrative duties as President sees fit
Answer incoming calls and redirect as appropriate
Welcoming visitors as needed
Experience
Degree preferred, not required based on actual experience
2-3 years' experience in accounting functions such as accounts payable/receivable or cash management.
Minimum 2 years experience with QuickBooks, or similar accounting/ERP software
Strong analytical and problem-solving skills, detail-oriented
Ability to multitask in an environment with many interruptions
Strong communication skills
Proficiency using QuickBooks, MS-365/Microsoft Excel, Word, Zoom
Detail oriented as exhibited by past work experiences
Ability to deal effectively with a diversity of individuals at all organizational levels.

Hours:
Full time Monday - Friday, on site, 8:30 AM - 5:00 PM
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
