As an Office Administrator for the Heavy Highway Division (road/bridge construction), your role will encompass the following:

POSITION SUMMARY:

  • Assists with day-to-day operations of the project including supply inventory, housekeeping, event planning, and various requests
  • Coordinate the necessary items to ensure the project office runs smoothly and assist Team Members with inquiries
DUTIES AND RESPONSIBILITIES:
  • Perform Daily Duties.
  • Perform a variety of daily administrative duties as required by the manager or region accounting (e.g. purchase orders, payables, time cards, fuel usage and receipts, bank deposits, tracking costs, and running local reports for the manager)
  • Prepare Monthly Financial Information.
  • Prepare month-end closing information for Accounting based on the current closing schedule
  • Prepare detailed analyses of monthly margin and cost statements as requested by location management
  • Reconcile time cards for all shop and logistics personnel, ensuring correct hours are reported and paid
  • Run KPI reports for preventative and emergency maintenance
  • Serve as Project Office Contact.
  • Receive guests and answer phones directing questions or problems to the appropriate internal contact/personnel
  • General Office Management.
  • Maintain correct levels of inventory for all parts and office materials, ordering new materials when appropriate
  • Prepare correspondence, reports, manuals, and forms
  • Work with the region\'s Human Resources department to handle personnel requests and problems
  • Work with region Safety department handling safety and environmental issues
  • Manage the subcontractor, vendor, and supplier process by assembling bid packages that include, scope of work, bidding process, and necessary construction documents
  • Detail accurate project team rosters, work logs of construction activities, and job information sheets
  • Support construction project managers to estimate and create project schedules, adhere to proper budgets, and communicate project updates
  • Oversee construction administration and manage the updating of the project management software
  • Coordinate permitting process and ensure timely submittal of all necessary documents
  • Responsible for entering work orders and purchase orders for parts and outside services
  • Additional Responsibilities. Other duties as assigned
EDUCATION AND EXPERIENCE:
  • Key bookkeeping, accounting, and math skills are preferred
  • Excellent organization, time management, attention to detail, and communication skills are valuable
  • High school diploma or equivalent is required \xe2\x80\x93 some college highly preferred
  • At least 3 years of experience in construction administrative support, contract administration, or construction project management is a strong plus
  • Construction Online Software experience is ideal
  • Personable and outgoing demeanor with the ability to multi-task in a quickly changing environment
