OFFICE ADMINISTRATOR Civil Engineering Firm [50-100 employees] \xc2\xae full-time; mid-level; hybrid position JOB DESCRIPTION BLA, Inc. is seeking an Office Administrator to be a key player in supporting our continued growth across the infrastructure market: transportation and structural design, traffic engineering and construction engineering. This position is based out of the City of Indianapolis for our Indianapolis office. While our ideal candidate will bring experience in the engineering or professional services industries, we are looking for an organized and detail-oriented candidate with a positive attitude and a special knack for detail, organization, and creative storytelling. This position is full-time (40 hours/week) from 8 AM to 5 PM Monday through Friday; full slate of benefits including medical, dental, vision, 401(K), profit sharing, bonus, flexible spending account, student loan contribution and others. SALARY AND BENEFITS This position is full-time and non-exempt; full slate of benefits offered including medical, dental, vision, 401(K), profit sharing, bonus eligibility, flexible spending account, mental health and wellness plan, student loan contribution and others. Hourly pay range is $26 - $32 (per hour) [i.e., $54,080 to $66,560 per year] with performance appraisals on an annual basis. Pay based on experience and qualifications. Position includes two weeks paid vacation and one week paid sick leave. Seven paid holidays per calendar year. JOB LOCATION This is primarily a remote position which allows the employee to work from home while connected to a Virtual Private Network (VPN) but will require occasional in-office attendance. If the candidate wishes to work in the Indianapolis office full time, this is allowable if the candidate desires. JOB SUMMARY, DUTIES AND RESPONSIBILITIES \xc2\xb7 Lead standard proposals with limited supervision and support complex proposals with general supervision. \xc2\xb7 Research, gather and edit proposal materials including writing, verifying, and formatting proposal information. \xc2\xb7 Ensure the various aspects of proposals and other marketing materials are compliant, accurate and delivered in a timely manner per the requirements of each client. \xc2\xb7 Collaborate with technical staff and review content for clarity, compliance, and coherence with key messages. \xc2\xb7 Generate graphic designs and marketing materials ensuring all proposal materials are effectively communicating the strategic vision and key messaging identified for a given pursuit. \xc2\xb7 Support project teams by preparing materials for internal and external meetings. \xc2\xb7 Attend career fairs and assist with recruitment at local universities on an as-needed basis. \xc2\xb7 Prepare monthly invoices to clients for work conducted out of the Indianapolis office. Invoices are generally submitted electronically via custom-made forms or through an electronic invoicing database, depending on the client. JOB REQUIREMENTS Required qualifications include: \xc2\xb7 Associate\xe2\x80\x99s degree [minimum] \xc2\xb7 Excellent verbal and writing communication skills along with editing/proofreading skills \xc2\xb7 Effective time management and organization; ability to manage and prioritize multiple submittal deadlines \xc2\xb7 High level of attention to detail \xc2\xb7 Proficiency with Microsoft Office, Publisher and PowerPoint and Adobe Creative Suite or other graphic design software programs \xc2\xb7 Strong organizational and coordination skills along with liaison capabilities and knowledge of business development procedures \xc2\xb7 Knowledge of procedures necessary to manage a standard proposal from onset to conclusion with limited supervision \xc2\xb7 Basic budgetary management knowledge; provide monthly updates to staff related to spend-to-date contract values \xc2\xb7 Ability to physically operate/activate a computer workstation and other office machinery [copy machine, printers] and remain in a stationary (seated) position for majority of the workday. Light physical activity is occasionally required.
