The Assistant to the Chairman role is a highly visible position and serves as a principal point of administrative contact and acts as a liaison with internal and external constituencies. Essential Duties: \xc2\xb7 Communicate directly, and on behalf of the Chairman, with customers, department heads, executive staff, Ingram Industries board members, external boards, community leaders, and others; serve as a professional representative of the Chairman and other company owners. \xc2\xb7 Work closely and effectively with the Chairman to keep him well informed of upcoming commitments and responsibilities, following up appropriately. \xc2\xb7 Complete a broad variety of administrative tasks for the Chairman including managing a dynamic calendar of appointments and meetings; composing and preparing correspondence that can at times be sensitive and confidential in nature; arranging complex domestic and international business and personal travel, itineraries, and agendas; and compiling documents for travel-related meetings. \xc2\xb7 Provide 24/7 availability to respond to issues and requests, including managing travel on nights and weekends. \xc2\xb7 Plan, coordinate, and ensure the Chairman\xe2\x80\x99s schedule is followed and respected. Provide \xe2\x80\x9cgatekeeper\xe2\x80\x9d and \xe2\x80\x9cgateway\xe2\x80\x9d role, creating win-win situations for direct access to the Chairman\xe2\x80\x99s time and office. \xc2\xb7 Proactively research, prioritize, and follow up on incoming issues and concerns addressed to the Chairman, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response. \xc2\xb7 Provide a bridge for smooth communication between the Chairman\xe2\x80\x99s office and internal departments; demonstrate leadership to maintain credibility, trust, and support with senior management staff. \xc2\xb7 Coordinate communications and events for Nashville Soccer Club ownership; coordinate other events, local and off-site as needed. \xc2\xb7 Provide back-up for other administrative support and executives in the executive area. \xc2\xb7 Prioritize conflicting needs; handle matters expeditiously and follow-through on projects to successful completion, often with deadline pressures. \xc2\xb7 Travel to LaVergne, TN office and other locations for performance of duties as needed. Education and Experience \xc2\xb7 Minimum 2 years of college preferred. \xc2\xb7 Strong work tenure with minimum 5 years\xe2\x80\x99 executive administrative assistant experience, reporting directly to a board Chairman or C-Level executive. \xc2\xb7 CAP Designation a plus. \xc2\xb7 Notary Public certification. Skills \xc2\xb7 Highly resourceful team player. \xc2\xb7 Excellent oral and written communication skills required. \xc2\xb7 Proficient with Excel, Word, and PowerPoint. \xc2\xb7 Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment. \xc2\xb7 Proven ability to handle confidential information with discretion and demonstrate the highest level of customer service and response. \xc2\xb7 Professional demeanor and corporate knowledge. \xc2\xb7 Strong organizational and administrative skills, with the ability to prioritize multiple tasks seamlessly with excellent attention to detail. \xc2\xb7 Highly developed interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners. \xc2\xb7 Ability to work independently on projects, from conception to completion. Job Type: Full-time Pay: $75,000.00 - $95,000.00 per year Benefits:
