The Opportunity

This position works out of our Chicago, IL location in the GES Global Engineering Services division.

As the Facilities Coordinator, you\xe2\x80\x99ll receive, review and route Facilities Service Requests. Maintain expenditure and departmental related records. Schedule and coordinate all company-wide employee relocations including the planning of space allocation. Performs departmental secretarial functions and other support activities.

What You\xe2\x80\x99ll Work On
  • Receives and relays, to appropriate individuals, all requests for repairs to facility of equipment.
  • Reviews, records and processes purchase requests for Facilities Department.
  • Maintains files of approved blanket and contract purchase orders including service contracts.
  • Reviews and records invoices for payment comparing expenditures with budget. Reports and corrects variances.
  • Maintains key control records. Collects and issues keys.
  • Initiates, schedules and coordinates company-wide employee relocations.
  • Coordinates new employee office space allocation including the processing of telecommunications and networking requirements.
  • Plans and strategizes space allocation utilizing floor plans and furniture layouts.
  • Coordinates with internal and external suppliers to ensure that all necessary tasks associated with office relocations and/or reconfigurations are completed on time.
  • Coordinates departmental travel arrangements.
  • Tracks off-site storage.
  • Maintains Emergency Action Plan binders for the executive staff.
  • Processes requests for office signage.
  • Issues lockers for production personnel.
  • Support all Company initiatives as identified by management and in support of Quality Management
  • Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements.
  • Complies with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments.
  • Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors.
  • Performs other related duties and responsibilities, on occasion, as assigned.
Required Qualifications
  • High school diploma or Four plus years of progressively more responsible business administrative experience or a related AA degree and a minimum of two plus years of progressively more responsible business administrative experience
  • Previous experience using Microsoft Outlook and the demonstrated ability to use Outlook Scheduler a plus.
  • Experience working in a broader enterprise/cross-division business unit model preferred.
  • Ability to work in a highly matrixed and geographically diverse business environment.
  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment.
Preferred Qualifications
  • Bachelor\xe2\x80\x99s degree in business administration or equivalent.
  • Ability to leverage and/or engage others to accomplish projects.
  • Strong verbal and written communications with ability to effectively communicate at multiple levels in the organization.
  • Multitasks, prioritizes and meets deadlines in timely manner.
  • Strong organizational and follow-up skills, as well as attention to detail.
  • Ability to travel approximately 5%.
  • Ability to maintain regular and predictable attendance.
