Plymouth Housing was founded in 1980 and currently houses more than 1,100 residents in a growing portfolio of apartment buildings in Seattle and its greater metropolitan area. By mid-2023, we will have 19 buildings with about 1,600 units of housing supported by 300 staff. In addition to growing the number permanent homes we operate to achieve our vision of eradicating homelessness in King County, Plymouth advocates for public policy changes at the local and state levels to address the causes of homelessness and support people experiencing homelessness in the Puget Sound region and beyond. We operate using a \xe2\x80\x9cHousing First\xe2\x80\x9d model that is nationally recognized as a cost-effective, evidence-based, innovative solution to chronic homelessness. Many of the residents we serve have co-occurring serious mental illness and substance use disorders. Sobriety or treatment compliance is not a pre-condition for housing with us and we continually strive to engage residents using trauma informed care and harm reduction strategies to support their stated life goals.

JOB SUMMARY

The Vice President of Administration, reporting to the Chief Operations Officer, is a member of the Executive Leadership Team and has responsibility for overseeing the Information Technology, Project Management, Administrative Services, and Data Analytics teams. You will be supporting the Chief Operating Officer (COO) in execution of day-to-day operations. As the VP of Administration, you will be leading, developing and implementing overall management efficiencies, new systems, tools, policies, and processes. Working in partnership with the COO you will also have broad responsibility for nurturing Plymouth as a high performing and collaborative organization with a high level of accountability internally and with external funders and partners. You will be functioning as a team leader in creative problem-solving across Plymouth departments and among the executive and director teams. This role will organize and align strategic priorities with members of the executive leadership team, collaborate with directors and internal communications, and own or identify owners for special projects to ensure overall efficient operations. This role will provide change management expertise, implementing best practices and systems for successful change management and develop leaders.
Required Skills
ESSENTIAL JOB FUNCTIONS

Supervision
  • Supervises and coaches the Directors of IT and Projects & Measurements, and Administrative Services Manager
  • Hires and onboards talented individuals to lead Plymouth\xe2\x80\x99s Administrative departments,
  • Establishes clear expectations for individual performance and departmental outcomes; holds staff accountable for meeting expectations,
  • Empowers direct reports to lead their departments with confidence; supports development of leadership skills and professional knowledge,
  • Ensures open, respectful and collaborative cross-departmental communication among direct reports, their departments, and the rest of the organization,
  • Oversees development of operational budget for departments.

Process Improvement
  • Participates in organizational strategic planning and organization-wide program and policy initiatives
  • Oversees project management function for organization, including change management and system/process improvement.
  • Oversees outcomes measurements and data management systems and reporting functions for organization
  • Supports and leads initiatives to streamline and improve organizational processes and policy/procedure documentation.
  • Provides leadership for strategic plan initiatives.
  • Facilitates internal change processes for system improvements, new tools, and changes in policy or process.

Administration & Information Technology Oversight
  • Assesses effectiveness of current services, and major operational policies with direct reports in administration and IT
  • Oversees assessment, procurement and implementation of Plymouth\xe2\x80\x99s technologies, ensuring appropriate tools for growth and inclusive of inter-department dependencies. Responsibilities include oversight of technology and software tools, and IT security and compliance
  • Oversees functions of overall office operations and management
  • Oversees organization wide data, outcome measurements and reporting
  • Oversees project management function for the organization aligned with strategic priorities and ensuring resources are managed to carry out the work
  • Oversees and manages highly prioritized cross-functional projects and programs

Required Experience
ESSENTIAL JOB QUALIFICATIONS
(Any equivalent combination of knowledge, skills, abilities, education, and experience)
Education: Masters degree in public administration, business administration, organizational management/design or a closely related field OR an acceptable equivalent of education and experience Preferred Experience:
  • Fifteen (15) years\xe2\x80\x99 experience in senior management with increasing responsibility, and at least four (4) years of senior/exec level experience in mid-size organizations. Experience in a non-profit organization is preferred.
  • Extensive Project Management Experience, including project management tools like Asana, MS Project
Preferred Qualifications and Skills:
  • Deep technical project management, including demonstrated strategic thinking, planning and analytical skills resulting in successful project completion
  • Project experience demonstrating strong strategic thinking, planning and analytical skills including data manipulation and analysis
  • Results oriented business professional with a focus on project delivery and business efficiencies
  • Ability to lead and thrive in a dynamic environment of change, challenge and multiple priorities.
  • Ability to listen effectively, learn quickly, and lead adaptively to deploy resources to address issues as they arise, collaborating across the organization as needed
  • Perseverance in tackling tough decisions with creativity and reasonable risk-taking.
  • Clear verbal and written communication skills, including facilitation, visualization and presentation skills.
  • Proficient and experienced with a wide variety of tools including expert in Microsoft Office applications, data analytics and Project Management Software
  • Strong experience in operationalizing business rhythms to ensure critical business meetings and governance structures are scheduled, planned, and executed.
