Job Description


Purpose and Summary

The Support Services Administrator\'s primary responsibility is to provide the oversight and management of the Spillman CAD/RMS and CRIME systems at the Department and oversee all support staff.

The Support Services Administrator insures that tasks are being completed in a timely manner, work is prioritized and there is equitable distribution of work between all support staff.

Further, the Support Services Administrator is responsible for the oversight of the Support Services work group in the absence of the Captain of Support Services.

Essential Duties

The Support Services Administrator will oversee and coordinate with other entities to insure the effective and efficient operation of the Spillman CAD/RMS system along with creating and maintaining users in the system. The Support Services Administrator will oversee and coordinate any needed CAD/RMS training with the Sheriff\'s Office and other entities.

The Support Services Administrator may attend administrative staff meetings.

The Support Services Administrator rewrites existing policy and procedures, formulates new policy and procedures relating to the operation of Support Services under the direction of the Captain of Support Services and institutes those policies following final approval.

The Support Services Administrator directs, reviews and participates in the performance evaluation of subordinates and personally evaluates the Administrative Assistant, secretarial staff and account clerks in order to insure that subordinates meet performance standards and that remedial corrective procedures are being instituted where necessary.

The Support Services Administrator collaborates with the Captain of Support Services on all disciplinary matters within the Support Services Division and takes disciplinary action when appropriate.

The Support Services Administrator receives and resolves complaints regarding subordinates\' job performance and/or personal conduct, receives inquiries from the public and others regarding Support Services, attends meetings with County officials, Department staff, and representatives of other law enforcement and/or correctional agencies, answers and initiates correspondence.

The Support Services Administrator directs, supervises and participates in on-the-job training for probationary employees, evaluates job performance and makes recommendations to insure support services personnel receive necessary training for the effective performance of their duties.

The Support Services Administrator formulates and promulgates goals and objectives; directs and participates in planning; plans and coordinates changes, additions and deletions for the operations of Support Services.

The Support Services Administrator annually determines the budget needs for the secretarial staff and account clerks. The Support Services Administrator annually determines the computer equipment budget needs of the Sheriff\'s Office. Both operational and capital requests must be submitted with all necessary research outlining need justification and cost analysis.

The Support Services Administrator will coordinate requests, made by the public, for Department records generated by the Support Services Division.

The Support Services Administrator maintains all appropriate records, performs various public relations duties, prepares and implements appropriate rules and procedures for the work group.

The Support Services Administrator is responsible for the maintenance of subordinate work schedules.

The Support Services Administrator will prepare a monthly Uniform Crime Report for the Office of Justice Assistance. Supplemental reports may also be required on sexual assaults, arsons, homicides and law enforcement officers killed/assaulted during the month.

The Support Services Administrator provides quality control by reviewing incidents in the Law Enforcement Automated Record System to insure all information has been entered correctly and completely.

The Support Services Administrator is responsible for maintaining records and purging records on an annual basis.

The Support Services Administrator is the coordinator with Information Systems on computer/printer related problems and questions.

The Support Services Administrator assists the Captain of Support Services with equipment, computer, and record issues in the Communications Center.

The Support Services Administrator is responsible for Departmental printing requests and storage of office supplies and forms.

The Support Services Administrator will type confidential personnel matters at the direction of the Sheriff or Inspector.

The Support Services Administrator prepares reports on crime statistics.

The Support Services Administrator works together with the Planning Department, County IT and Lieutenant of Communications to maintain the County 911 MSAG and ANI/ALI information via the internet.

The Support Services Administrator prepares monthly inmate Social Security Report and sends it to Social Security Administration Headquarters via the internet.

The Support Services Administrator is a Notary Public for Civil Process papers and inmate requests.

The Support Services Administrator is responsible for the downloading of digital dictations and digital interviews.

This position is responsible for any other duties ordered by the Sheriff or his/her designee.

Qualifications

The Support Services Administrator will have a two year associate degree or equivalent work experience. Five years or more of experience in the records management/secretarial/dispatch support fields.

The Support Services Administrator should be proficient in use of computer applications, including WORD and EXCEL and the ability to develop and utilize these applications.

Self-motivated with the ability to effectively, efficiently and entirely complete assignments with minimal supervision.

Ability to communicate effectively in both oral and written communications.

Ability to maintain confidentiality and good working relationships with co-workers and other staff.

Ability to work well independently or as part of a team.

Ability to accept and dispense supervision.

Ability to effectively manage others in a wide range of circumstances.

Ability to work effectively under stressful conditions.

Ability to effectively communicate in verbal and written form.

Ability to maintain regular and predictable work attendance.

Work Environment & Physical Requirements

The Support Services Administrator is directly supervised by the Captain of Support Services.

The Support Services Administrator will help supervise all staff within the Support Services Division.

The Support Services Administrator must work well with all members of the County Board, the public and other departments.

The Support Services Administrator is salaried and works eight hours per day Monday through Friday. The Support Services Administrator may be required to work extra hours due to Department needs.
