This position promotes and supports the learning experience of Marian University students by, assisting students, faculty, and staff in coordinating the receivables operations of the Business Office as well as business accounting functions related to student accounts. ESSENTIAL FUNCTIONS: Student Accounts Administrative Support \xe2\x80\x93 60%

  • Records receipt in Power Campus of all student payments made and funds received from various departments and/or student organizations.
    • Tracks payments for student scholarships awarded and paid by outside parties. Upload scholarship files from Financial Aid Office weekly.
    • Prepares and maintains internal payment plans for students with past due balances.
  • Distributes and processes US and campus mail.
  • Participate in New Student Registration days and Check-in days as needed.
  • Processes the billing side of course registration forms, course drop forms, overload permission request forms and university withdrawal forms.
  • Maintains and tracks registrations and payments related to dual credit students.
  • Assists the Director of Student Accounts on an as needed basis to upload various financial aid files, process refunds, distribution of 1098-T\xe2\x80\x99s, process receipt of funds from collection agencies,
  • Maintains and distributes student refund checks weekly.
  • Post files in Power Campus and Great Plains.
  • Assists students in resolving issues related to using online payment platforms for student account payments, performs administrative actions to retrieve and record daily payment information.
  • Prepares manual, itemized invoices as required for adult students, as requested, to assist them in receiving employer reimbursements.
  • Submits information needed to state College 529 plans on behalf of students to facilitate student account payments.
  • Assists various university departments as needed for issues such as transcript and financial holds, parking tickets, student ID replacement, etc.
  • Collects Tuition Deferment paperwork and maintains spreadsheet to track the eligible students and required payment dates.
  • Performs yearly audit of Remote Deposit Machine and maintains quarterly destruction of checks.
  • Performs Advancement entries in to Great Plains, as well as monthly reconciliation between the Power Campus Advancement module and Great Plains.
  • Maintains a positive work environment by cooperating in a professional manner with the University community and keeping a positive attitude with vendors, students, co-workers, and supervisors.
Cash Management -35%
  • Provides customer service to visitors to the Business Office, including assisting in-person visitors, answering telephone calls, emails and voice messages.
  • Responsible for all daily cash receiving functions including:
    • Daily reconciliation of cash receipts
    • Prepare bank deposits-manual and remote
    • Maintain and disburse petty cash funds
    • Maintain proper handling and recording of cash, check, and credit card payments received including from international students.
    • Physically take cash deposits, foreign items, petty cash checks etc. to bank.
    • Deposit all incoming funds/checks for Advancement
    • Processes returned items from the bank such as NSF checks.

EDUCATION, EXPERIENCE, and SKILLS REQUIRED:
  • High school diploma or equivalent. Five years prior office experience. A combination of education and experience may be considered.
  • Computer literate and proficient in Microsoft Office (Word, Access, Excel).
  • Cash handling and management experience
  • Knowledge of modern office practice and procedure and office equipment and machines.
  • Strong oral and written communication and interpersonal skills.
  • Exceptional organizational and time management skills.
  • Ethical comportment and high regard for confidentiality.
  • Must be accurate with numbers and data.
