WHAT YOU NEED TO KNOW (Job Overview):

The Wildfire Long-Term Recovery (LTR) Team supports active recoveries across the Western United States as well as Hawaii. This position will provide direct support to the various programs within the Wildfire LTR program portfolio including Western Wildfires 2021, 2022 and Hawaii 2023.

The Senior Associate, Planning is a critical role that supports the planning, project management, and coordination efforts within the Wildfire LTR Team. In addition to operational service delivery activities, the Wildfire LTR Team engages in the development of program strategies, project design and rich engagement with operational partners across the United States. This position is responsible for facilitating effective communication, organization, planning, and resourcing the Wildfire LTR Team projects, and ensuring efficient workflow to optimize productivity and achieve LTR strategic objectives within defined timeframes. The Senior Associate, Planning works closely with the Wildfire LTR Director, Wildfire LTR team members, the Senior Associate for Planning supporting the NHQ LTR Branch to ensure integration into the NHQ LTR Branch more generally to streamline processes, track progress, identify obstacles, and foster collaboration.

Planning and Coordination:

  • Assist in developing and implementing project plans, timelines, and schedules.
  • Coordinate and track project deliverables, ensuring timely completion.
  • Collaborate with team members to identify dependencies, critical paths, and potential bottlenecks.
  • Facilitate effective communication among team members and stakeholders.
  • Coordinate and schedule team meetings, workshops, and other project-related activities.
  • Maintain project documentation, including meeting minutes, action items, and decision logs.
  • Assist in preparing project status reports, highlighting key milestones, risks, and issues.
Resource Allocation and Management:
  • Collaborate with team members to identify resource needs for projects and initiatives.
  • Assist in allocating resources effectively to optimize productivity and meet project deadlines.
  • Monitor resource availability and utilization, ensuring proper allocation across projects.
  • Communicate resource constraints and conflicts to team leaders and stakeholders.
  • Assist in identifying and implementing strategies to optimize resource allocation and utilization.
Team Collaboration and Communication:
  • Foster a collaborative and inclusive team environment.
  • Facilitate effective communication and information flow among team members.
  • Coordinate and track team activities, ensuring alignment with project objectives.
  • Organize and lead team meetings, promoting active participation and idea exchange.
  • Assist in resolving conflicts and promoting a positive team dynamic.
  • Serve as a point of contact for team members, addressing inquiries and providing support as needed.
Process Improvement:
  • Identify opportunities to streamline processes and improve efficiency and coordinate continuous improvement with program managers
  • Work with team members to develop and implement process enhancements.
  • Conduct regular evaluations to identify areas for improvement.
  • Collaborate with stakeholders to gather feedback and incorporate suggestions.
  • Implement best practices and standardize processes to enhance team coordination and planning.
Documentation and Reporting:
  • Maintain accurate and up-to-date project documentation and records.
  • Assist in generating reports and dashboards to track project progress and key performance indicators.
  • Prepare presentations and visual aids to effectively communicate project updates to stakeholders.
  • Ensure documentation and reports adhere to organizational standards and guidelines.
Schedule \xe2\x80\x93 Remote WFH

This is a term-limited, benefits eligible position expected to last 24 months from date of hire with the opportunity to extend based on business need."

PAY INFORMATION:

The salary range for this position is $74,560-$79,220.

Note that American Red Cross salaries are aligned to the specific geographic location in which the work is primarily performed. Other factors that may be used to determine your actual salary may include your specific skills, how many years of experience you have and comparison to other employees already in this role.

WHAT YOU NEED TO SUCCEED:
  • Bachelor\'s degree in business administration, project management, or a related field. Minimum 5 years of related experience or equivalent combination of education and related experience.
  • Management experience: N/A
  • Proven experience in project coordination, team support, or a similar role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize effectively in a dynamic environment.
  • Proficient in project management software and collaboration tools.
  • Detail-oriented with strong problem-solving abilities.
  • Ability to work both independently and collaboratively.
  • Strong interpersonal skills and ability to work with diverse teams.
  • Knowledge of project management methodologies and best practices.
