Madison Post Acute & Manor has an opening in our Health Care department for a Full-Time

Scheduling Coordinator

who thrives on details in a fast-paced environment. This position is responsible for scheduling for our CNA's and Nurses in our Nursing Department in our Skilled Nursing Facility to ensure facility needs and regulatory requirements are met. This position also provides support for the selection, placement/hiring process, staff orientation as well as overseeing the facility's central supply and stocking of nursing supplies. The ideal candidate will be detail oriented, organized and possess excellent customer service skills as well as the ability to prioritize and meet deadlines.



Schedule patient appointments accurately using EMR (Electronic Medical Record) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. Verify insurance coverage and perform insurance verification to facilitate smooth billing processes. Manage appointment changes, cancellations, and rescheduling requests promptly while maintaining clear communication with patients and staff. Review and update medical records, ensuring proper documentation review in compliance with HIPAA regulations. Assist with front desk duties including patient check-in/out, phone etiquette, and handling multi-line phone systems. Support medical administrative tasks such as filing, data entry, and maintaining organized medical records. Collaborate with clinical staff to coordinate care plans and ensure timely patient flow within the clinic.



Minimum of 1 year of experience in a nursing home or senior living facility. Previous experience in human resources or business operations is preferred. Current and valid Certified Nursing Assistant (CNA) license from the State Board of Nursing is preferred. Knowledge of basic recruitment and HR practices, employment law and regulations. Strong knowledge of EMR systems like Epic, Meditech, Athenahealth, or similar platforms. Strong computer skills and technology understanding is preferred. Good phone technique and communication skills. Excellent computer skills with proficiency in Microsoft Office Suite and office equipment like fax machines and 10-key typing. Knowledge of HIPAA regulations to ensure patient confidentiality and data security. Bilingual abilities are a plus to serve diverse patient populations effectively. Previous experience in dental or hospital settings is highly desirable for understanding specialized terminology such as dental terminology or hospital workflows. Exceptional customer service skills combined with professional phone etiquette and clerical support experience. Pay: $30.00 - $35.00 per hour
