Job Description


Join our award-winning company as a part-time Project Coordinator! The Project Coordinator provides support to the Project Management Department including technical and administrative duties. This position works with Project Managers, Superintendents, and other Project Coordinators to effectively complete construction projects. This position serves as the first point-of-contact for all customers, subcontractors, suppliers, business development professionals, and employees.

RESPONSIBILITIES

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

  • Coordinates the project management and tracking of submittals, including recordkeeping on shop drawing logs.
  • Performs quality checks for submittals by comparing specifications to content of submittals.
  • Creates and distributes subcontractor lists; generates and issues subcontracts, ensuring they are returned timely. Tracks subcontractors certificates of insurance. Assembles contract exhibits to attach to subcontracts.
  • Generates and issues change orders.
  • Oversees completion of closeout lists and documents, including checklists specific to client expectations (e.g., retail remodels) and new store projects.
  • Meets with project manager weekly to determine needed assistance for outstanding deviations and closeouts. May initiate additional meetings with appropriate project manager regarding project schedule.
  • May create preconstruction agendas and assist with meeting execution and minutes. May attend and assist the project managers with completing, publishing, and distributing jobsite meeting minutes.
  • Performs plan management responsibilities and distribution on plans, change orders, and revisions. Updates document control logs.
  • Configures Procore to set up new projects.
  • Provides support and assistance to Superintendent.
  • Perform general administrative duties such as transcribing letters, typing meeting minutes, typing bids, typing subcontractor lists, sorting filing, and faxing.
  • May perform Wrike administration responsibilities, including the entry of schedules and punch lists with the help of project managers.
  • May back up other project coordinators and front-desk assistant.
  • Performs all other duties as assigned.

Education
  • Associate degree in a business-related field required. Education in construction management or related field is preferred.
Experience/Knowledge
  • Proficiency in Microsoft Office (Outlook, Word, and Excel) required.
  • Demonstrated experience in effectively planning and managing multiple time-sensitive tasks simultaneously in a fast-paced environment.
  • Demonstrated experience serving internal and external customers in a professional and positive manner.
  • Valid drivers license.
