Position Summary

Under the general direction of the Dean of the Institute for Business and Information Technology (iBIT), reporting to the Principal Program Manager for the Bachelors of Applied Science (BAS) Programs, the Program Assistant works collaboratively with each iBIT BAS Program Manager to support the BAS programs\' mission and goals, and to recruit and retain students into the applied baccalaureate programs. This position will also coordinate with faculty Program Chairs of Associate degree programs on developing pathways for students into BAS degrees. The position provides general office and operational support and has frequent communication with students, faculty, and program partners. The position also involves managing ongoing student tracking and report creation.

Pay, Benefits & Work Schedule

Annual Salary: $33,588- $44,412

Annual salary will be commensurate with candidate\'s qualifications and related experience.

About the Department

The Institute for Business and Information Technology (IBIT) encompasses both Instructional and Professional/Technical degree and certificate options crossing multiple program areas. IBIT serves a diverse student population which has wide-ranging interests focusing on academic preparation to career progression, and encompassing high-school students to adult learners with a wide range of student abilities from at-risk to advanced, along with sometimes shortened cycles of impact due to completion of certificates or the securing of employment during the program. This places additional demands and pressures on faculty in Professional/Technical programs while also adding significant value to students by way of opportunity creation in challenging economic times.

Essential Functions

Administrative Support

  • Assist in the coordination of the daily operations of the iBIT BAS programs in collaboration with the program managers and program chairs to facilitate administrative, faculty and student needs.
  • Maintain website and SharePoint portal.
  • Provide Administrative support to professional advisory committee, including scheduling meetings, attending meetings, taking and distributing minutes.
  • Use email, word processing, spreadsheet, publishing, presentation, website, enterprise information systems and database programs.
Data Maintenance and Reporting
  • Provide data/reports for program planning based on relevant research and program assessments by collecting and tracking general student data, degree completion, effectiveness assessment, enrollment projections, and state reporting.
  • Distribute and collect student, graduate and employer surveys as needed.
  • Compile and present survey data in a meaningful way to assist in program improvement.
Student Support
  • Provide prospective students with accurate information regarding the program, such as the admission process, prerequisites, financial aid, and student services. Refer students to faculty and additional college services that best meet students\' needs.
  • Assist in advising current students with educational plans, referrals, and other needs that facilitate their success and consistent progression toward their degree when needed.
  • Communicate with students regarding relevant and timely information regarding internships, jobs, classes, events and any other useful information.

Minimum Qualifications
  • Effective verbal and written communications skills
  • 2 years of customer service experience
  • Effective time management and organizational skills
  • Experience working with diverse individuals and groups
  • Experience evaluating and assessing data
  • Intermediate spreadsheet skills
  • Ability to work independently and prioritize a high volume of detail-oriented work to achieve goals and deadlines
  • Experience in maintaining websites such as Wordpress or SharePoint
Preferred Qualifications
  • General marketing knowledge, recruiting and/or promotional experience, including social media
  • Experience in a higher education setting
  • Experience with students to create an educational plan, maintain and update plan, and facilitate student success in the program
  • Experience with Customer Relationship Management (CRM) technology tools
  • Advanced Excel skills
