The Payroll Specialist will be responsible for the accurate and timely processing of weekly and bi-weekly payroll and other payroll-related functions for a multi-entity of 200+ employees. The position will report to the Controller and work closely with our Human Resources department. The ideal Payroll Specialist candidate will be organized, detail-oriented and able to multi-task in a fast-paced office environment. They will have strong problem-solving skills and be able to produce high-quality work products with a resourceful, friendly, and helpful approach.

Responsibilities of Payroll Specialist:
  • Timely processing of weekly and bi-weekly payroll for all employees.
  • Validation and transfer of timesheet data from Deltek Vantagepoint into Paylocity.
  • Coordinate with HR to ensure all personnel changes are entered accurately and timely into the payroll system.
  • Manage third-party deductions and remittances, such as wage garnishments, etc.
  • Prepare and submit all labor compliance documents, including certified payroll reports on jobs requiring prevailing wage and attend project kickoff meetings as needed.
  • Reporting of all data and reports required by projects for labor compliance.
  • Enter timesheet and labor adjustments into Vantagepoint, as necessary.
  • Prepare monthly recurring standard journal entries, reconciliations and adjusting journal entries to correct errors as needed.
  • Review, maintain and verify any necessary quarterly/year end payroll related filings such as W-2s.
  • Complete employment verification requests from various sources and EDD benefit audits.
  • Preparing financial reports for accounting and auditing purposes.
  • Maintain strong relationships with external third parties (e.g. payroll, benefits providers/file feeds).
  • Manage the payroll and tax set up for new states, as necessary.
  • All other duties, as assigned.
Salary will be based on qualifications and/or experience, with a robust benefits package. Expected starting pay range of $65,000 to $80,000.

Required Qualifications for Payroll Specialist:
  • High school diploma or GED
  • 2-5 years\' experience with complicated payroll processing, including prevailing wage
  • Strong understanding of prevailing wage and labor compliance, including Davis Bacon Act and CA state prevailing wage laws
  • Knowledge of federal, state and local wage and tax laws and overtime requirements
  • Proficient in the use of MS Office software (Outlook, Word and Excel)
Preferred Qualifications for Payroll Specialist:
  • Bachelor\'s degree in finance or accounting or related field
  • Experience in the construction and/or professional services industry
  • Experience working with labor compliance software, such as PRISM, LCPtracker and DIR eCPR
  • Experience with multi-state payroll processing
  • Bilingual English/Spanish
  • Experience with Paylocity
  • Experience with Deltek Vision/Vantagepoint
