SUMMARY The Payroll and Benefits Specialist is a combined department position between Finance and Administration and People and Culture. The Payroll and Benefits Specialist will administer the payroll and employee benefits programs, including retirement, insurance and worker\xe2\x80\x99s compensation. The Payroll and Benefits Specialist will serve as the first point of contact for all staff inquires related to payroll and benefits. The Payroll and Benefits Specialist supports the Finance and Administration Director through payroll processing, analyzing benefits, maintaining complex spreadsheets related to benefits accruals, and participating in audits and responding to requests for information. The Payroll and Benefits Specialist supports the People and Culture Director through staying current on payroll and benefits trends, updating associated policies and procedures, participating in the new employee orientation and onboarding process, and providing outstanding internal customer service to our employees. The Payroll and Benefits Specialist will report directly to the Finance and Administration Director, with dotted-line reporting to the People and Culture Director. The is a non-exempt (hourly) level position. The salary range for this position is $47,520.16 to $55,315.93. DUTIES AND RESPONSIBILITIES The responsibilities of the Payroll and Benefits Specialist include, but are not limited to, the following: General Functions \xc2\xb7 Serves as the first point of contact for employees regarding payroll and benefits questions and application of policies and procedures \xc2\xb7 Provides timely and transparent service \xc2\xb7 Ensures high integrity in analyses and reporting \xc2\xb7 Provides educational and informative training on payroll and benefits associated topics Payroll Functions \xc2\xb7 Experienced in multi-state employer registrations \xc2\xb7 Ensures company compliance with federal, state and local laws, including reporting requirements \xc2\xb7 Administers payroll and all associated tasks \xc2\xb7 Updates payroll records with job title, salary, benefits or tax changes \xc2\xb7 Experience with payroll taxes \xc2\xb7 Issues and records adjustments to pay related to previous errors or retroactive increases \xc2\xb7 Ensures complete set up of the withholding process in all states that employees reside \xc2\xb7 Ensures complete set up of the unemployment process in all states that employees reside \xc2\xb7 Ensures complete set up of the workers\xe2\x80\x99 compensation process in all states that employees reside \xc2\xb7 Administers workers\xe2\x80\x99 compensation claims \xc2\xb7 Participates in audits and responds to requests for information \xc2\xb7 Completes workers\xe2\x80\x99 compensation census annually (demographic information, compensation codes, payroll estimates, and true-up of audit process) \xc2\xb7 Conducts annual review and approval of W-2s \xc2\xb7 Conducts annual census of employee information and reviews and submits the 5500 form \xc2\xb7 Conducts annual review and approval of the 1095-C forms \xc2\xb7 Conducts annual payroll and benefits associated compliance testing and processing \xc2\xb7 Stays current on payroll and benefits trends \xc2\xb7 Responsible for quarterly tax report filing and archiving \xc2\xb7 Ensures garnishments are set up, tracked and reported appropriately Benefits Functions \xc2\xb7 Administers employee benefits programs including health insurances, retirement, and worker\xe2\x80\x99s compensation \xc2\xb7 Administers open enrollment process \xc2\xb7 Serves as bridge between benefits providers and company \xc2\xb7 Enrolls new employees in plans and benefits \xc2\xb7 Unenrolls employees from plans when leave employ \xc2\xb7 COBRA related o Communicates with benefits providers o Tracks time on program and receipt of payments \xc2\xb7 Monthly review and processing of vendor invoices to ensure they are correct \xc2\xb7 Analyzes benefits and maintains complex spreadsheets related to benefits accruals \xc2\xb7 Promotes and enrolls new employees in retirement plan \xc2\xb7 Monthly review and processing of plan contributions and employer matching QUALIFICATIONS AND EDUCATION REQUIREMENTS \xc2\xb7 Minimum 4 years\xe2\x80\x99 direct work experience as a payroll and benefits specialist with hands-on experience as noted above \xc2\xb7 Experience working in a professional environment \xc2\xb7 Exceptional demonstrated ability to act with integrity, professionalism, and confidentiality WORKING CONDITIONS This position primarily works indoors. This is a fully remote work position. PHYSICAL REQUIREMENTS N/A TRAVEL This position may require travel.
