Position Summary:

The Payroll Administrator (PA) is responsible for timely and accurate payroll processing, and managing all payroll-related audit and reporting functions. This role serves as a trusted resource - ensuring PR policies/procedures are clear, applied, consistently, and services are delivered excellently. This role reports to the Senior HR Manager - Payroll Operations and may be responsible for a variety of projects and other administrative support functions, as assigned.

Duties and Responsibilities:

  • Manage all payroll processing including regular, bi-weekly payroll, off-cycles, and manual checks
  • o Quality control and review of payroll each cycle
  • o Troubleshooting any payroll issues
  • o Working in partnership with AP/Director of Operations at each campus to ensure payroll is submitted accurately and on time
  • o Review biweekly Leave of Absence and update payroll accordingly
  • o Serve as the lead contact for employees around any payroll questions/issues
  • Processes final payments to terminated employees ensuring payments are timely and in accordance with federal or state legislative requirements to minimize risk.
  • Maintains accurate records on all employee payroll transactions.
  • Responds to payroll inquiries and requests within established service level agreements. Provides guidance and educates employees as needed to resolve pay or time discrepancies and ensure payroll is accurately processed.
  • Updates and maintains documentation on all payroll policies and procedures and complies with departmental process guidelines and standards during each payroll cycle.
  • Prepares and maintains detailed reconciliation documentation of payroll data to general ledger account balances. Reviews accounting ledger entries, identifies and resolves discrepancies and variances and updates general ledger information as needed.
  • Ensure data integrity in HRIS (Workday) and support HRIS as needed, including data entry, reports, audits, etc.
  • Generates and distributes standard and ad hoc payroll reports as needed for internal finance and operational departments.
  • Develops close working relationships with internal partners such as the Finance and Accounting teams, Benefits, IT, etc. to quickly resolve issues and handle requests.
  • Maintains current on applicable local, state and federal wage and hour and payroll laws and regulations.
  • Updates and maintains payroll files. Files paperwork maintains bi-weekly payroll reports and ensures documentation and records comply with audit control standards, practices and procedures.
  • Assists with other tasks or special projects, e.g., W-2 reconciliations, internal and external audits, etc. as assigned
Qualifications:
  • Expert knowledge of payroll practices, basic accounting, and tax rules
  • Knowledge of basic Human Resources policies and best practices
  • Excellent Excel skills with extensive knowledge of Microsoft Office applications, HRIS, and other vendor interface protocols
  • Excellent written and verbal communications skills; communicate effectively (clearly, concisely and professionally) with internal customers
  • Strong interpersonal skills and customer-service orientation
  • Ability to work well under pressure and meet payroll deadlines
  • Ability to work on multiple projects simultaneously and adapt to changing priorities in a fast-paced environment
  • Self-starter, with the ability to work well independently, as well as with a team
  • Exceptional organization skills - a detail-oriented approach to multi-task and meet deadlines under pressure
  • Strong aptitude for data collection and analysis as well as ability to manage data platforms or portals
  • Demonstrated ability to be agile and creative, with solid problem-solving skills
  • Comfort and demonstrated ability to successfully facilitate and engage various size groups or audiences
  • Ability to manage complex projects, prioritize appropriately, and problem solve
Education and Experience:
  • High school Diploma or GED required
  • Bachelor\'s degree and two (2) to four (4) years of progressively more responsible experience managing payroll for a large-scale organization (
1500 EEs) preferred; OR * Minimum of five (5) years of progressively more responsible experience
  • Experience with Workday and ADP, a plus
  • Broad knowledge and experience in employment law and compensation, strongly preferred
  • Working knowledge of Pennsylvania and New Jersey regulations and employment law is strongly preferred
  • Experience in urban schools or other educational settings is a plus
Physical/Environmental:
  • Ability to physically perform the essential duties of the role - either on-site or remotely (as indicated), and to work in the environmental conditions required, such as: traveling to network campuses; maneuvering in office spaces (including standing, walking, sitting for long periods of time, speaking loudly and clearly, seeing and hearing things both near and far away); stooping, kneeling, reaching file cabinets/shelves; fine finger and hand manipulation in use of a computer, chalkboard, dry erase, &/or projectors; filing, faxing, scanning, coping, typing, mailing, and making phone calls; sitting for up to two (2) hours looking at a computer monitor, using a keyboard/mouse, and typing.
Other Requirements:
  • The position requires local travel to Mastery and other sites. Must have access to reliable transportation.
