Job Description

About You:

  • Possess strong judgment and proven history of excellent customer service, including advanced organizational skills, excellent written, oral, and interpersonal communication skills, as well as the ability to discreetly handle confidential information.
  • Ability to work autonomously, efficiently, be solutions-oriented, flexible, proactive, and anticipate needs is required to take ownership of work and excel in a team environment
  • Strong time-management skills, with attention to detail, following through on projects and handling multiple tasks
  • Strong ability to support individual executives, as well as client/practice teams with the essential ability to work collaboratively with others at all levels
  • Proven ability to take direction from multiple sources
  • Interest in operations culture
Responsibilities:
  • Provide Concierge daily coverage - Monday-Friday (8:00am-5:00pm)
  • Forge relationships with executives across Edelman Portland and maintain calendars (for appointments, calls, meetings), travel coordination, expense reports for 1-2 Senior Leaders
  • Manage building and vendor communication and visits from start to finish, including: project scheduling, obtaining COI\'s, invoicing and building services booking
  • Manage vendor relationships, to include submitting, tracking, and maintaining vendor PO\'s, onsite visits and follow-up, maintenance agreements, renewals with Legal, Finance, SVP Facilities approvals
  • Inventory and supply ordering/approving for team
  • Manage OS calendar for vendors and communications:
Basic Qualifications:
  • Provide Reception Desk daily coverage - Monday-Friday (8:00am-5:00pm)
  • Forge relationships with executives across Edelman PNW and maintain calendars (for appointments, calls, meetings), travel coordination, expense reports for 1-2 Senior Leaders
  • Manage building and vendor communication and visits from start to finish, including: project scheduling, obtaining COIs, invoicing and building services booking
  • Manage vendor relationships, to include submitting, tracking, and maintaining vendor POs, onsite visits and follow-up, maintenance agreements, renewals with Legal, Finance, SVP Facilities approvals
  • Inventory and supply ordering/approving for team
  • Manage Office Services calendar for vendors and communications: send out refrigerator cleaning/monthly maintenance, window cleaning, fire drill emails from Office Services mailbox
  • Handle set-up/deletion of business accounts (business cards, Seamless Web, FedEx, Workspeed, etc.) for all employees
  • Coordinate both in-house and off-site meetings, including conference room set-up, beverages, food, and travel for visitors
  • Coordinate office signage for equipment outages and promotional material requests
  • Assist with office-wide initiatives/events: Giving Tuesday, Citizenship efforts, etc.
  • Emergency Response Team Member: respond to Send Word Now, call 911, flag for building, hold elevators for/direct paramedics, make sure employee is isolated/in a private area if possible, crowd control. Maintain Fire Warden lists, trainings, and emergency supplies.
Preferred Qualifications:
  • S/he should possess excellent organization skills; working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • This person should be able to self-direct, possess excellent interpersonal, writing/communication skills, and pay close attention to detail.
  • Customer service experience is preferred.

$38,000 - $60,000 a year

An employee\'s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs. The range listed is just one component of DJEH\'s total compensation package for employees. Other rewards may include annual bonuses, a Paid Time Off policy, and region-specific benefits.
