Job Posting: \xc2\xb7 Excellent knowledge of customer service is required to be able to render services to clients in a professional manner. \xc2\xb7 Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations. \xc2\xb7 Identify and participate in process improvement initiatives that improve the customer experience, enhance workflow, and/or improve the work environment. \xc2\xb7 Operate telephone switchboard to answer, screen and forward calls, providing information and taking messages. \xc2\xb7 Transmit information or documents to customers, using computer, mail, or facsimile machine. \xc2\xb7 Verify insurance eligibility and benefits. \xc2\xb7 Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided. \xc2\xb7 Responsible for updating, maintaining, and dispersing company directories. \xc2\xb7 Provide administrative support on special projects, as assigned. \xc2\xb7 Provide support for training/events, as needed. \xc2\xb7 Proficient in basic computer software programs like Microsoft Office and electronic medical records software. \xc2\xb7 As part of the medical records process, the Front Office Coordinator must be able to effectively collect clients\xe2\x80\x99 information as part of clinic procedures for record keeping and future reference. \xc2\xb7 Collect co-pays, co-insurance amounts and deductibles owed by patients when they come in for a visit. \xc2\xb7 Make reminder phone calls the day before the client\xe2\x80\x99s appointment. \xc2\xb7 The Office Coordinator is responsible for scheduling all patient appointments with clinical staff. Importantly they must aggregate clients around times and hours such that the doctors and therapist\xe2\x80\x99s days are filled. \xc2\xb7 The Office Coordinator must maintain stock of forms, office supplies and ensure reception area is well maintained for patients. \xc2\xb7 Track new patient calls and summarize weekly and monthly. \xc2\xb7 Any other duties as assigned. Requirements: \xc2\xb7 Must be 18 years or older. \xc2\xb7 High school diploma or GED required or equivalent related work experience. \xc2\xb7 Minimum of one (1) year experience in professional office environment. \xc2\xb7 Effective verbal and written English communication skills. \xc2\xb7 Strong knowledge of HIPAA laws and regulations. \xc2\xb7 Demonstrated intermediate to advanced skills in Microsoft Word, Excel, Power Point and Outlook, Internet, and Intranet navigation. \xc2\xb7 Highest level of professionalism with the ability to maintain confidentiality. \xc2\xb7 Ability to communicate at all levels of organization and work well within a team environment in support of company objectives. \xc2\xb7 Must be pro-active and exhibit quick bias for action and response. \xc2\xb7 Superior customer service skills and a friendly, persuasive telephone manner. \xc2\xb7 Strong attention to detail and accuracy, excellent organizational skills with ability to prioritize, coordinate and maintain multiple projects simultaneously with high level of quality and productivity. \xc2\xb7 Strong analytical and problem-solving skills. \xc2\xb7 Ability to work with minimal supervision, take initiative and make independent decisions. \xc2\xb7 Ability to deal with new tasks without the benefit of written procedures. \xc2\xb7 Approachable, flexible, and adaptable to change. \xc2\xb7 Ability to work flexible hours and overtime, as needed. \xc2\xb7 Function independently, and have flexibility, personal integrity, and the ability to work effectively with stakeholders and vendors. Physical and Sensory Requirements: \xc2\xb7 Moderate physical activity: o Requires handling of average-weight objects up to twenty-five (25) pounds. o Sitting for more than two (2) hours at a time. o Requires consistent computer work with repetitive typing and concentrating on computer screen. o Requires consistent operation of telephone system.
