Summary of Position:

The Office Coordinator will provide administrative support to the CEO, COS, COO and manage corporate office operations. This is a full-time, non-exempt position located in Austin, TX, reporting to the Chief of Staff.

Essential Functions & Responsibilities:

Executive Support (25%)

  • Organize executive daily calendars\xe2\x80\x94scheduling appointments and scheduling meetings.
  • Manage and arrange travel for executive team as requested.
  • Track executive expenses and prepare expense reports for reimbursement and billing.
  • Support the CEO as needed in preparing for speaking engagements or other internal or external meetings conducting research and other similar tasks.
  • Demonstrate the ability to handle confidential information with discretion and confidentiality.
  • Other administrative duties as needed.
Office Coordination (40%)
  • Serve as the key point of contact facility maintenance requests as well as vendors, such as maintenance, mailing, supplies, equipment repair. Monitor office machines and systems, and problem-solve issues as needed (including postage, copiers, conference room scheduling).
  • Monitor and maintain inventory of necessary office supplies; order supplies as needed to keep basic supplies stocked, and to fulfill special requests from staff.
  • Oversee implementation of office operations and procedures.
  • Maintain responsibility for general office upkeep and \xe2\x80\x9clook and feel.\xe2\x80\x9d
Other Support (35%)
  • Provide event support and planning, including meetings and staff events.
  • Support other functional areas and members of the organization\xe2\x80\x99s leadership team with special projects as needed. May include projects in Executive, HR, Finance or R&D.
  • Attend meetings for the purpose of providing notes and follow-up coordination.
  • Maintaining a clean and organized environment for the full Austin, TX location.

Education and Experience:
  • 2-3 years of experience in an administrative support role. Experience supporting executives is required.
  • Demonstrated proficiency or advanced skill in Microsoft Suite (Teams, SharePoint, Visio, Word, Excel, PowerPoint, and Outlook) and experience with data management.
  • Undergraduate degree; equivalent experience may substitute for education on a year-for-year basis.
Supervisory:
  • This position does not have any supervisory responsibilities.

Physical Requirements:
  • Occasionally remaining in a stationary position, often standing or sitting for prolonged periods.
  • Occasionally moving about to accomplish tasks or moving from one worksite to another.

  • Occasionally repeating motions that may include the wrists, hands and/or fingers.
