Job Summary

Provide general overall FM services including continuous monitoring of facility. Work with Facility Managers and Engineering Managers to handle routine property management operations, including procurement of property supplies and services, including issuing purchase orders, managing bid requests and service/ construction contracts, processing of accounts payable and accounts receivables.

Key Elements and Essential Tasks

Customer Service:

  • Cultivate and maintain a positive working relationship with client, JLL representatives, tenants, landlords, and service providers.
  • Coordinate special events in support of client or JLL.
  • Provide support for guests, visitors, and employees at client locations.
  • Act collaboratively to solve problems and resolve spontaneous and unique situations with professionalism.
  • Ensure delivery of committed services and overall satisfaction with JLL performance.
  • Demonstrate leadership, responsiveness, and creativity in solutions for service delivery.
  • Understand the applicable Service Level Agreements (SLAs), help the team achieve Key Performance Indicators (KPIs) and favorable scores on client satisfaction surveys.
  • Review monthly client service request summaries to pinpoint and correct recurrent operational problems
  • Evaluate vendors and suppliers on a regular basis with regard to quality, reporting and competitive pricing
  • Verify the accuracy of deliveries for count, pricing, and description where parts are requested for maintenance activities.
Operations:
  • Assist teams with problems associated with all building services including janitorial, food service, coffee services, landscaping, parking, vending, badging, conference rooms, fitness centers, interior and exterior furnishings, fixtures, and equipment.
  • Assist with receiving and dispatching work requests to technical staff and vendors, maintain accountability for deliverables.
  • Maintain records and provide support for operational audits.
  • Collaborate with facility management and engineering teams to ensure timelines for deliverables are on track, proactively identify and provide solutions to potential issues.
  • Assist with tactical planning to meet account team goals and objectives.
  • Assist with performing site inspections as required and demonstrate knowledge and understanding of metrics associated with this process.
  • Seek to continuously improve processes, systems, and overall client satisfaction.
Vendor Relations:
  • Manage and coordinate vendor performance, including \xe2\x80\x93 tracking work order completion, validating invoices, communication of unresolved items.
  • Partner with vendors to resolve invoicing and work order issues, follow through with resolution plans while keeping all stakeholders informed.
  • Assist with coordination and scheduling of maintenance activities.
Finance:
  • Assist with budgetary requests, financial analysis and reporting, and purchasing.
  • Act as a liaison to JLL finance team and other account team members.
  • Support facility specific cost savings goals.
Knowledge, Skills & Abilities

MINIMUM REQUIRED

Education/training
  • High School diploma or GED equivalent; Trade School Diploma/Certification
Years of relevant experience
  • 2+ years facility management experience with corporate or third-party service provider.
Skills and knowledge
  • Strong supervisory skills with the ability to coach, mentor and train.
  • Business acumen including financial planning and analysis. Must be able to manage within budget and time constraints.
  • Superior customer service, relationship building and follow up skills.
Other abilities
  • Computer proficiency with Excel, Word, Outlook and Computerized Maintenance Management System (CMMS) required.
  • Communicates effectively with superiors, peers and subordinates.
  • Strong Customer Service skills
