The role of the Client Coordinator provides assistance in the treatment and care of clients. The role prepares and/or updates the client\xe2\x80\x99s medical record for their treatment. The role includes interacting with clients and may be required to help the medical professional in preparing the client or clinical setting for treatment
The company is headquartered in Tampa, FL. Responsibilities:
  • Assists Medical Professional in clinic by:
    • Provides information, services, and assistance to clients in-clinic
    • Verifies client information, medical history, and confirming purpose of visit in accordance with protocols
    • Captures relevant information into client files/charts
    • Provides clients with information on additional services
    • Sets up appointments with client and medical professional with treatment questions
    • Prepares and cleans treatment rooms for clients
  • Greets clients and visitors into the clinic by standing and extending a warm welcome
    • Establishes and maintains rapport with clients to ensure overall customer service satisfaction
  • Answering client questions including scheduling appointments
  • Checks client appointments in and out
  • Collects any payments, if any are outstanding \xe2\x80\x93 ensure knowledge of payment system
  • Ensures a thorough understanding of company policies and procedures
  • Checks physical mailbox daily, processes any mail accordingly
  • Provides clinic tours as needed to new clients
  • Works collaboratively with Client Experience Team on client inquiries
  • Works collaboratively with other cross functional teams and departments
  • Secures client information by completing and safeguarding records in compliance with all laws
  • Works with clients to relay instructions from medical professionals and answer questions about treatments
  • Ensures clinic email is reviewed and handled accordingly
  • Maintains safe, secure, and healthy work environment by establishing and following standards and procedures and complying with legal regulations
  • Keeps supplies stocked
  • Manages equipment repairs with vendors
  • May assist in inventory intake and recordkeeping as outlined in the inventory guide
  • File management including creation of medical charts, filing, ensuring effective documentation, storage management
  • Assists with prescription ordering
  • Maintains and updates job knowledge by participating in educational opportunities
  • Adheres to professional standards, policies, and procedures; and federal, state, and local requirements
  • Other Clinic duties as needed
Qualifications:

Education/Training:
  • Requires a high school diploma or its equivalent


Experience:

  • 0-1 years of healthcare or in a clinic setting
  • Experience in a customer care or customer service setting
  • Knowledge of clinic operations


Technical or Administrative Knowledge:

  • Knowledge of clinic safety operational guidelines
  • Knowledge of key administrative systems (i.e. Microsoft Office 365, POS, Salesforce, etc.)
