Summary
The Community Health Services Division of Public Health- Seattle & King County seeks a Bilingual Spanish speaking Administrative Specialist II | Patient Services Representative to join our dynamic, multidisciplinary, and diverse team at our Eastgate Public Health Center in the delivery of health services to the county\xe2\x80\x99s most vulnerable people.

Eastgate is one of our largest centers, where we provide family health, pediatrics, family planning, teen clinic, parent-child health, dental, health insurance, and Orca life enrollment services. Our clients are culturally, socially, and linguistically diverse. Applicant should be committed to working with diverse populations to provide excellent customer service to people from a broad range of cultures, communities, backgrounds, and experiences, including people experiencing homelessness, mental illness, recent immigrants and refugees, people with complex health conditions, and people with limited English proficiency. The successful candidate must have excellent and reliable attendance, stellar customer service skills in person and over the telephone (discretion, patience, etiquette, professionalism), and be an independent self-starter with excellent time management and organizational skills.

Work Schedule:

PLEASE NOTE
: This work is full time, performed on site and in person.
The normal work week is Monday, Tuesday, Thursday, and Friday 8:00am-5:00pm and Wednesday 9:00-6:00.
Job Duties

  • Greet patients, both in person on the phone, and electronically complete registration and check-in.
  • Answer incoming calls, schedule patient visits with appropriate providers and programs.
  • Schedule patient visits by determining the appropriate providers and programs for patients to be scheduled with, assure timely access to services by actively monitoring and coordinating multiple provider schedules and maintaining appointment templates for clinic providers.
  • Solicit financial and insurance information, verify insurance coverage, calculate charges, and collect payments when appropriate.
  • Identify when patient needs triage by healthcare staff, and quickly identify potential emergencies.
  • Coordinate patient and information flow, while maintaining patient confidentiality and complying with Federal HIPAA laws.
  • Utilize a variety of computer programs, including Epic, Provider One, and Microsoft Office.
  • Utilize interpreters as appropriate for languages other than Spanish.
  • Coordinate patient and paperwork flow for practice assuring that patients and their records are prepared for the visit and assuring that all information is available to the provider via an electronic health record system.
  • Perform general office duties such as copying, faxing and other clerical duties.

Experience, Qualifications, Knowledge, Skills
  • At least one or more years of experience working in a healthcare setting providing a high level of customer service in a fast-paced, high volume setting or relevant education or training.
  • Must be able to read, write and communicate in English and Spanish without a Spanish interpreter.
  • One or more years of working knowledge of medical terminology.
  • Skilled at identifying when triage by healthcare staff is needed and identifying potential emergencies early and responding according to agency policy.
  • Knowledge of state and federal laws governing the use and disclosure of protected health information.
  • Demonstrated ability to provide a consistently high level of customer service with discretion, patience and professionalism, based on accepted customer service principles and departmental standards.
  • Demonstrated ability to communicate with staff and clients in a pleasant, non-judgmental, respectful and culturally sensitive manner under varying levels of stress.
  • Demonstrated ability to pay attention to detail. Skilled at handling confidential data and situations with tact and discretion.
  • Skilled at interacting with patients around potentially sensitive issues and/or volatile situations.
  • Skilled at problem solving and troubleshooting.
  • Skilled at working both as part of a multi-disciplinary team and independently.
  • Skilled at organizing, prioritizing, multi-tasking and adapting to changes in workload demands.
  • Skilled at using clinical practice management systems and other Windows-based software programs.
  • Ability to learn and use multiple computer programs.
  • Skilled at cash handling, including making changes and reconciling a cash register.
  • Functional knowledge of medical terminology.
  • Skilled at communicating and explaining insurance coverage, billing, payment procedures and other technical information both verbally and in writing to patients and co-workers in a clear, professional, and simple manner.
  • Ability to read, learn and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to read, write, and communicate in English.
  • Ability to provide culturally appropriate customer service and determine when interpretation is needed, as well as communicate, via an interpreter, to a diverse population including immigrant and homeless individuals.
  • Skilled at identifying when triage by healthcare staff is needed and identifying potential emergency situations early and responding accordingly.
  • Demonstrated ability to move up to 25 pounds in order to move boxes, retrieve health records, replenish office supplies, and prepare encounter forms for processing. This may involve intermittent lifting, standing, stooping, bending, and reaching during the course of the workday.

Public Health relies on office automation (Microsoft Office) and web-based enabled tools, therefore candidates must be proficient and comfortable with computer use to perform functions associated with on-going work.
