ARL EXECUTIVE ADMINISTRATOR \xe2\x80\x93 ID# 223412. CLOSING DATE: June 21, 2023, or until filled. Regular, Full-Time, RCUH Non-Civil Service position with the Applied Research Laboratory (ARL), located at the ARL Administrative Office, in Honolulu, Hawai\xe2\x80\x98i. Telework (from employee\xe2\x80\x99s residence city and state) may be permissible subject to review and approval by Principal Investigator (PI) and the Research Corporation of the University of Hawai\xe2\x80\x99i (RCUH). Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. MONTHLY SALARY: Salary commensurate with qualifications. DUTIES: Manages and coordinates the schedules for the ARL Director and Core Competencies (CC) Directors. Budgets and coordinates travel arrangements. Works with the ARL Director and CC Directors to ensure that deliverables and action items are completed in a timely manner. When designated by the ARL Director, may serve as "Administrator-in-Charge" for administrative related items during the absence of the ARL Director and CC Directors. Provides administrative assistance, such as writing and editing e-mails, drafting memos, and prepares communications on behalf of the ARL Director and CC Directors. Reviews materials, reports, and other communications relating to general administrative matters. Responsible for Directors\xe2\x80\x99 events and scheduling logistics, which includes but is not limited to ensuring all required equipment, supplies, transportation, presentation materials, and attendees arrive to and from the event. Responsible for recording meeting minutes and filing accordingly. Answers and responds to phone calls, communicates messages and information to the Directors. Monitors the current electronic filing and database system and look for ways to improve current systems. Oversees the Administrative Support Assistant and student assistant. PRIMARY QUALIFICATIONS: EDUCATION Bachelor\'s Degree from an accredited four (4) year college or university in public or business administration, economics, political science, or a related field. (Associate\xe2\x80\x99s Degree from an accredited community college and two (2) years of experience or High School Diploma or G.E.D. equivalent and three to four (3-4) years of related administrative work experience sufficient to provide skills, perform job duties may substitute for a Bachelor\xe2\x80\x99s Degree.). EXPERIENCE Three to five (3-5) years of responsible administrative experience in a business organization or government agency. KNOWLEDGE Knowledge of principles and practices of public administration; principles and practices of public relations; principles and techniques in writing informational material; techniques used in preparing and editing copy for printing. ABILITIES & SKILLS Must be a U.S. Citizen, a requirement of the Government security investigation to meet eligibility requirements for access to classified information. Ability to handle multiple tasks and have excellent organizational skills. Ability to grasp complex issues quickly and achieve solutions to complex problems in context of institutional policies and procedures. Ability to utilize personal computer and Microsoft Office. Ability to work effectively with diverse groups of people. Ability to effectively conduct work remotely (e.g., telework) as applicable. Post Offer/Employment Condition: Must be able to obtain and maintain a security clearance based on a tier-3 background investigation to access classified information. PHYSICAL/MEDICAL DEMANDS Ability to lift and carry up to thirty (30) pounds unassisted from ground level while in a standing position. Ability to perform repetitive keyboard entry for twenty to forty (20-40) hours per week. Ability to listen and speak clearly on all communications devices. SECONDARY QUALIFICATIONS: Additional years of experience working as a responsible administrative assistant in a business organization or government agency. Knowledge of UH and RCUH policies and procedures. Knowledge of DoD contracts, grants, and classified systems security practices and procedures.
