Overview

Come be a part of a dynamic and motivated team that is focused on serving Vermonters well! This position serves as the central hub at the Secretary of State\'s Office. Duties include greeting guests and clients at our 128 State Street, Montpelier office, answering constituent inquiries via e-mail and phone, and coordinating administrative services such as travel arrangements, expense reports, ordering office supplies, facilities help, event planning, mail/package processing, calendar management, and design and printing of materials. This position is responsible for the Safe at Home and Temporary Officiant programs and requires some travel and use of a personal vehicle. Other duties include entry-level finance tasks including filing, assisting with data entry to generate a payment of invoices, and assisting in the processing of various types of deposits in VISION, as well as managing the Purchasing Card account for the office. Duties include participation in an upcoming effort to move administrative activities to an electronic format. This position is in-person full-time during normal business hours (7:45am - 4:30pm M-F). An ideal candidate would be excited to greet guests of the Secretary, interested in modernizing the Safe at Home and Temporary Officiant Programs, and a motivated team player.

Environmental Factors

Work is performed in a standard office setting.

Minimum Qualifications

High School diploma or equivalent AND three (3) years or more of experience providing administrative-level support to a business or organization.

OR

One year of full-time college level study in accounting, business or public administration, office administration or a related field AND two (2) years or more of experience providing administrative-level support to a business or organization.

OR

Two years of full-time college level study OR an associate\'s degree or higher in accounting, business or public administration, office administration or a related field AND one (1) year or more of experience providing administrative-level support to a business or organization.

OR

Three years or more of full-time college level study OR a bachelor\'s degree in accounting, business or public administration, office administration or a related field.

OR

One (1) year or more of experience as an Administrative Services Coordinator I with the State of Vermont.

NOTE: Only administrative work experience is qualifying. Administrative support includes those functions which keep the organization running or provide the resources for others to provide the programmatic work (e.g., accounting, budget management, grant administration, finance, human resources, payroll, purchasing, or space management).

Special Requirements

For some positions experience working with the VISION system (VISION is the State of Vermont PeopleSoft financial management system) may be required.
