Energy Solutions is currently seeking a full-time Administrative Facilities Partner to provide administrative support to our Business Services department as well as reception duties for our Boston office. The person filling this role must be flexible and adaptable to changing circumstances with patience and professionalism.
Responsibilities include but are not limited to:

  • Event Planning
    • Team Meetings (weekly/monthly)
    • Team Building Events
    • Offsite planning
    • Birthday Card/Celebration Coordination
  • Meeting Notes
    • Organizing and recording minutes
  • Program Support
    • Organizing claim forms and sending to clients
    • Assist with invoicing
    • Update internal budget tracker
  • Answer calls
  • Owner of meeting space
    • Calendars
    • Following up with reminder
  • Travel coordinator
  • Emergency preparedness coordinator
  • Collaborate with Administrative Professionals Team to support company events
  • Bench Strength for peers
    • Support other functional groups when peers are out of office
  • Intermediate MS Office Suite proficiency and ability to learn Slack, etc.
    • Word/Excel/PowerPoint
    • Support ad-hoc projects as directed by Operations team and supervisor

Minimum qualifications:
  • 3-5 years of administrative experience in a fast-paced office environment
  • BA or BS degree in Business Administration or a related field preferred, but not required
  • Business writing ability with strong spelling, punctuation, and grammar
  • Exceptional time management, organizational, and multi-tasking skills with strong attention to detail
  • Ability to work both independently and collaboratively while juggling competing priorities
  • Demonstrates initiative, flexibility, accountability, and ownership of assigned tasks
  • Intermediate proficiency in the MS Office suite including Outlook, Word, Excel and PowerPoint (skills tests will be required during the interview process)
  • Must be able to learn and practice aseptic cleaning techniques throughout the office
  • A proven professional or personal commitment to the betterment of the environment and the reduction of GHGs is a plus but not required

Hourly Rate DOE: $25- $30 hourly Compensation is commensurate with experience and includes a generous retirement package.
