School of Public Administration:
The University of Central Florida (UCF) School of Public Administration (SPA) is a top 40 program that provides quality education to current and future public service professionals so they, in turn, can change our local and global communities for the better. The Opportunity:
The School of Public Administration at the College of Community Innovation and Education (CCIE), invites applications for an Administrative Assistant III position. The Administrative Assistant III is essentially the face of the School and is responsible to the Administrative Coordinator. The Administrative Assistant III provides administrative support not only to the Director of the School of Public Administration but also ensures the efficient operation of the school and communicates directives from the Director as needed.

Responsibilities:

  • Maintain the Director\'s appointment calendar and help to prepare for meetings and events.

  • Assist with the coordination, planning, and organizing of activities, luncheons, and special events.

  • Serve as the SPA liaison with the CCIE Business Center for purchasing, finance, and staffing needs.

  • Provide written responses to routine matters for the Director and draft correspondence for the Director.

  • Draft agendas and take minutes for monthly school meetings.

  • Assure the accuracy of all items submitted for the Director\'s signature and approval, as well as coordinate the proper handling and follow-up of such items.

  • Ensure faculty textbook orders are submitted and sent to the UCF Bookstore.

  • Maintain a list of textbook publishers and also order desk copies for faculty when needed.

  • Distribute Student Perception Information to all faculty.

  • Maintain school files.

  • Communicate with faculty, staff, and external constituencies, as directed by the Director.

  • Submit service work orders, key requests, and surplus and adoption requests.

  • Assist with coordinating the development of SPA reporting.

  • Serve as a backup to the course scheduler.

  • Supervise student workers.

  • All other duties as assigned by the Director.


Minimum Qualifications:
High School Diploma or Equivalent and 4+ years of relevant experience.

Preferred Qualifications:

  • Strong written and verbal communication skills.

  • Experience with Microsoft Office and Excel.

  • Experience with databases and technology.

  • High level of customer service and interpersonal skills.

  • Excellent written and oral communication skills.

  • Ability to work collaboratively and develop effective relationships with key stakeholders.

  • Excellent organization and multi-tasking skills with a high level of attention to detail.

  • Ability to work under pressure in a high-traffic environment with deadlines, goals, and time limitations.

  • Proficient in MS Office (Outlook, Excel, Word).

  • Knowledge of SalesForce, PeopleSoft, and Teams is a plus.
