Position Summary
The Loan Administrative Assistant works directly with loan officers to provide support in the production and management of all types of loans. Generates loan documents by using an automated software program, review closed loan files to ensure documents are properly executed, perfects the collateral to ensure Northrim Bank is in the lien position requested by the underwriter, and disburses funds as needed. The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional duties.
Essential Duties and Responsibilities
  • Review loan requests to understand loan terms. Use various software programs and generate appropriate loan documentation according to the loan authorization, Northrim Bank underwriting guidelines, policies, and regulations and to ensure proper collateral position.
  • Prepare documents for new loans, loan renewals, change in terms, RPMs and STEs.
  • Review UCC searches, flood zone determinations, credit reports, preliminary title reports, environmental reports, and appraisals. Resolve all exceptions related to collateral position.
  • Assist loan officers in reviewing loan documents and scheduling loan closing.
  • Complete post closing functions to include disbursing loan proceeds. Process fees from appropriate general ledger accounts to pay third party vendors.
  • Prepare and process collateral documents to perfect collateral.
  • Process customer transactions such as wire transfers, loan payments, advance requests and payoffs ensuring funds are applied to appropriate accounts.
  • Prepare loan and credit file documents for imaging.
  • Provide pro-active customer service and problem resolution, including researching and resolving customer inquiries.
  • Manage Business Loan Agreement tickler reports and resolve past due items.
  • Assist with the completion of department certifications.
  • Other duties as assigned.

Position Specific Responsibilities
Loan Administrative Assistant II
  • Process consumer loans as needed.
  • Train new employees and coordinate cross-training activities.
Loan Administrative Assistant III
  • Responsible for complex commercial loans and specialty loans such as AIDEA and SBA. Process consumer loans as needed.
  • Edit loan documents per legal recommendation.
  • Train new employees and coordinate cross-training activities.
  • Assist in developing procedures.

Qualifications
Education
  • High School Diploma or equivalent.

Experience
Loan Administrative Assistant I
  • One year of clerical experience in a lending environment.
Loan Administrative Assistant II
  • Two years of related experience in lending, loan operations, administration, or servicing.
  • Previous experience with loan documentation software such as CSI Runtime or LaserPro.
Loan Administrative Assistant III
  • Four years of related experience in lending, loan operations, administration, or servicing.
  • Previous experience with loan documentation software such as CSI Runtime or LaserPro.
  • Experience with specialty loans such as AIDEA, SBA, and complex commercial real estate loans.
All positions
  • Related military education/experience may be used as a substitute for work experience.
Knowledge & Communication Skills
  • Must be able to compose business letters. Ability to read, write, and speak English sufficiently to comprehend, analyze, and effectively communicate business memorandums, technical procedures, and government regulations.
  • Basic understanding of debits and credits, and calculating interest accruals.
Analytical & Decision Making Skills
  • Self-directed, able to work independently without supervision, and be able to prioritize multiple projects to meet firm deadlines.
  • Detail oriented and have good attention to detail with the ability to proof read documents for accuracy and processing transactions accurately.
Computer/Software/Other Equipment Skills
  • Able to comprehend and respond to new software and program upgrades.
  • Intermediate knowledge of MS Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to operate standard office equipment such as PC, printer, fax/copier, and telephone.

  • The noise level in the work environment is usually moderate.
