Accounting Clerk/Payables SUPERVISOR: Finance Director
DEPARTMENT: Finance
FLSA CLASSIFICATION: Non-Exempt
SALARY: $19.27 \xe2\x80\x93 $21.08 depending on experience
SALARY GRADE: G3B1 USWA
LOCATION: County Building
DATE: 4/17/2023 POSITION SUMMARY: Maintains the regular accounting duties associated with accounts payable for all County departments. ESSENTIAL FUNCTIONS:

  • Review and process new vendor paperwork. Ensure timely entry of data into automated system
  • Completes payments and assists in controlling expenses by receiving, processing, verifying and reconciling invoices
  • Match invoices with appropriate purchase orders and packing slips
  • Verify that invoices over $1,000 are following the procurement policy
  • Generates vendor payments by following established procedures for processing disbursements
  • Monitors APInvoices email and handles invoices along with related emails/other invoice support
  • Ensures outstanding balances are updated with credit memos that are due.
  • Maintains historical records of all invoices, reports, receipts, and checks by saving documents properly in BS&A
  • Prepares, proofreads, validates account codes, enters and processes payments for invoices presented to accounts payables
  • Prepares, verifies and distributes checks weekly to meet the established production schedule
  • Maintain vendor information, a W-9 file and vendor\xe2\x80\x99s insurance certificates to ensure vendors are compliant with current documentation
  • Prepares voucher check listings on a monthly basis for approval by the Board of Commissioners
  • Reconcile vendor statements
  • Responds to vendor inquiries as necessary regarding payment of invoice(s) to communicate accuracy
  • Communicates with vendors and department heads with invoice discrepancies in billing and ensures corrective action takes place
  • Process 1099s and other end of year tasks with 100% accuracy
  • Prepares transfer sheets to notify Treasurer of payments made for Bay Bluffs or 911 Funds
  • Assist with annual audit as requested
  • Maintain AP filing system
  • Serve as a backup for other staff within the Finance Department
  • Perform other duties as assigned

Proficient in Office Suite, Excel based spreadsheets, knowledge of general accounting principles, and proficient in data entry and account reconciliation. Ability to calculate figures and amounts such as discounts and percentages. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all County requirements and policies. Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to manage work load in order to meet quality and quantity production goals. EDUCATION/EXPERIENCE: Associates degree in Accounting or Finance preferred, High School diploma or equivalent required, 2 years\xe2\x80\x99 related accounting experience with two years of accounts payables experience required, 4 years\xe2\x80\x99 preferred.
