The Senior Agency Operations Manager is a member of the extended Marketing Team and aligned by Therapeutic Area (TA) reporting to the Associate Director, Agency Operations. The individual fully understands the brand\xe2\x80\x99s strategic and tactical plans to manage agency operations efficiently and effectively for that TA. The incumbent will closely collaborate with the AD, core brand team members, Agency Operations Team, Sourcing and assigned agencies.

The Senior Agency Operations Manager owns the relationship with the Agency as it relates to tracking operational processes performed to execute and complete work within BI standards. This role will onboard and train agencies on relevant Tools, Policies, SOPs BI processes and practices. Additionally, the incumbent will monitor Agency compliance to training policies and contractual requirements/obligations as well as score the agency evaluation and provide ongoing feedback to agencies, formally and informally. Lastly, this role manages processes and tracks "Agency Spend" (Budget) monthly through the financial reconciliation of the Scope of Work (SOW) and work invoiced by the Agency.

Duties & Responsibilities:

  • Based on industry knowledge and experience, drives communication and alignment between multiple stakeholders (including Brand, Sourcing, Global Partners, and Agencies).
  • Responsible for negotiating solutions and resolving conflict.
  • Responsible for probing for information to clarify issues and improve the agency management process by working with, and assisting with management of, Agency partners to align on timelines and to ensure transparent communications to all those working on the promotional tactics.
  • Has a clear working knowledge of the brand\'s strategic plans, tactical plans, and operations to proactively recommend solutions that adhere to industry regulations, laws, policies, SOPs, etc.
  • Onboards and trains agencies on relevant tools, systems, policies, SOPs BI processes and practices.
  • Monitors adherence to corporate standards of excellence, company policies, compliance and ethical business practices to be compliant with all applicable SOPs and FDA regulations.
  • Responsible for identifying obstacles/challenges and providing solutions with clear focus on continuous improvement of the agency management process.
  • Supports the annual Sourcing Agency evaluation process by scoring the agency evaluation for each TA agency and providing feedback to the Agencies.
  • Mentors and coaches new and existing team members on best practices and the most efficient process based on know-how and subject matter expertise.
  • Assumes a functional area of expertise and becomes a team resource on an ongoing basis (e.g., reporting, system updates, review pathways, etc.)
Financial/Invoice Management:
  • Manages process and track "Agency Spend" (vs. Budget) of the agencies that support the TA.
  • Reports actual spend to budget on a monthly basis for each agency, reconciling against original Scope of Work (SOW).
  • Reviews, approves and disputes invoices as appropriate against monthly reconciliation and original Scope of work (SOW).
  • Manages the purchase order and change order process for each TA agency (Input PR to PO placement).
  • Collaborates with and support/align with controllers/finance on brand finances and dissemination of Hard Close/Year End documentation to agencies.
  • Demonstrated ability to work in multiple systems to initiate, manage, report and reconcile financials, working with multiple stakeholders.
Ongoing Process Improvement Management:
  • Participates and in cases recommends the auditing of agencies where consistent discrepancies are found.
  • Initiates, tests, and implements continuous process improvements that positively affects departmental performance metrics.
  • Authors any new changes to departmental guidelines based on the results of continuous process improvements.
  • Identifies departmental best practices that can be shared across the therapeutic teams, ensuring consistency of approach.
Requirements:
  • Bachelor\xe2\x80\x99s degree required.
  • Four to seven (4-7) years\xe2\x80\x99 experience in a Pharmaceutical Marketing or Agency organization, with a solid understanding of the agency management & operations process required.
  • Demonstrated strong communication, organizational, time management, ability to facilitate, attention to detail, and process/systems skills required.
  • Demonstrated negotiation, relationship management, influencing abilities, ability in conflict management and negotiation required.
  • History of successful performance through fast and focused execution, strategic thinking, and ability to foster a collaborative environment.
  • Demonstrated track record in continuous process improvements and sharing of best practices.
  • Demonstrated ability to manage large projects, multi-task and achieved desired results, especially under pressure.
  • Knowledge and experience with FDA/OPDP regulations.
  • Displays AAI behaviors: Agility, Accountability, and Intrapreneurship.

  • Must be legally authorized to work in the United States without restriction.
  • Must be willing to take a drug test and post-offer physical (if required).
  • Must be 18 years of age or older.
