JOB TITLE: Special Events Coordinator DEPARTMENT: Community Development, City of Toccoa JOB SUMMARY: This position is responsible for planning, coordinating, promoting, and supervising special activities and events for the department. Please note, experience in Event Coordination is strongly preferred for this position. MAJOR DUTIES:
  • Organizes and promotes established events such as, Main Street Awards, Arbor Day, Toast of Toccoa, Toccoa Train Day, Cruzin\xe2\x80\x99 Down Doyle, Ida Cox Music Series, Currahee Military Weekend, Harvest Festival, Costume Parade, Small Business Saturday, Christmas Fest, Toccoa On Ice, and co-sponsored events.
  • Creates, organizes, and promotes new city-wide special events. Coordinates other special events held downtown with city departments.
Facilitates the Promotions Committee meetings.
  • Recruits volunteers for the Promotions Committee and for each event.
  • Makes reports to the Downtown Development Authority.
  • Keeps media informed of upcoming events.
  • Edits the bimonthly newsletter to downtown businesses.
  • Promotes and visits downtown businesses.
  • Develops budget for special events; monitors expenditures under the current budget; completes event financial statements.
  • Serves as contact person for Public Works employees that clean downtown.
  • Assists with Christmas decorations program.
  • Performs other related duties as assigned.
KNOWLEDGE REQUIRED BY THE POSITION:
  • Knowledge of the principles and practices of events administration.
  • Knowledge of department rules and regulations.
  • Knowledge of community volunteer, funding, and development resources.
  • Skill in planning and coordinating events involving large groups of people.
  • Skill in public relations.
  • Skill in supervision.
  • Skill in using a computer and graphic design, multi-media, and spreadsheet software.
  • Skill in oral and written communication.
SUPERVISORY CONTROLS: The Community Development Director assigns work in terms of general instructions. Completed work is spot-checked for the nature and propriety of the final results. GUIDELINES: Guidelines include city and department policies and procedures. These guidelines are generally clear and specific, but require some interpretation in application. COMPLEXITY: The work consists of related duties in planning and coordinating programs and special events to promote downtown businesses. SCOPE AND EFFECT: The purpose of this position is to promote downtown businesses through the development of special events. Successful performance contributes to the quality of community life. PERSONAL CONTACTS: Contacts are typically with Chamber of Commerce and Stephens
County Development Authority personnel, the City Commissioners, the Downtown Development Authority, the downtown merchants and property owners, the media, other city employees, event volunteers, vendors, and the general public. PURPOSE OF CONTACTS: Contacts are typically to give or exchange information, coordinate programs, resolve problems, and provide services. PHYSICAL DEMANDS: The work is typically performed while intermittently standing or stooping. WORK ENVIRONMENT: The work is performed in an office. SUPERVISORY AND MANAGEMENT RESPONSIBILITY: None. MINIMUM QUALIFICATIONS: Special Events Coordinator, Community Development
  • Knowledge and level of competency commonly associated with the completion of a baccalaureate degree in a course of study related to the occupational field.
  • Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one to three years experience or service.
  • Possession of or ability to readily obtain a valid driver\xe2\x80\x99s license issued by the State of Georgia for the type of vehicle or equipment operated.
