Position Summary

To continue delivering best-in-class seedlings and innovative agriculture solutions to field growers, we are seeking a Senior Maintenance Administrator.

The Senior Maintenance Administrator is responsible for managing all the information related to keeping accurate service-repair records, equipment moves, shop and maintenance department job budgets-estimates, and other important departmental data. The administrator is able to work independently preparing and maintaining accurate records of vehicles, stock parts, materials, tools, and consumables. Partners with the Accounting and Purchasing departments to ensure that all the stock parts, materials, tools, and consumables are accurately reflected in the inventory and accounted for during routine maintenance and repair operations. In coordination with the Shop and Maintenance Managers provides guidance and oversees the quality of work order records.

Duties and Responsibilities

  • Administers and oversees the creation, follow-up, and completion of work orders.
  • Directs and administers department data record accuracy
  • Provides guidance to technicians and mechanics regarding accurate record-keeping for assigned work orders.
  • Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability and requirements.
  • Assists with Safety training and communication.
  • Supports and Partners with the MRO buyer regarding the creation and administration of PO Requests.
  • Organizes and accounts for stock parts in the facility\'s shop
  • Provides accurate and timely reports to the Accounting department\'s inquiries.
  • Develops and administers an effective checking-in-out tool system.
  • In a leadership role, works with the Production Supervisors of the company\'s satellite locations and ensures they follow up on administrative procedures and data entry of work orders and parts/ consumables inventory status.
  • Provides the Shop and Maintenance Managers with feedback on work order status.
  • Supports the overall upkeep of company assets through precise record-keeping
  • In partnership with the Safety, Accounting, Legal and Human Resources departments helps to maintain compliance of rolling stock (trucks, tractors, vehicles, etc), including renewal of registrations, scheduling smogs, submittal of documents to governmental agencies, depreciation schedules, and other regulatory items related to the company\'s fleet of vehicles.
  • Assists the Shop and Maintenance Managers keep good data regarding rolling stock company assets.
  • In coordination with the Safety and Compliance Staff, the Logistics Manager and Shop Manager keeps excellent DOT compliance information, including 90-Day inspections.
  • Participates and conducts periodic inventories of equipment, tools, and other supplies.
  • Supervises, oversees and guides the performance of data entry maintenance staff.
  • Along with the Shop and Maintenance Managers helps to maintain a clean and organized work environment.
  • All other duties as assigned.
Qualifications
  • High school diploma or GED. Associate Degree preferred.
  • Basic understanding of auto, truck, and heavy farm equipment.
  • 3-5-year related experience required.
  • Experience working with maintenance and repair data management systems.
  • Basic Microsoft Office Suite skills (Word, Excel, PowerPoint)
  • Bilingual (English/Spanish) preferred.
  • Good interpersonal verbal and written communication skills necessary; must be able to deliver information and ideas clearly and effectively to different levels in the organization.
  • Must be organized and able to manage multiple priorities and tasks with attention to accuracy and detail.
  • Valid California Driver\'s License required; must maintain eligibility for company vehicle insurance.

While performing the functions of this job, the employee is regularly required to sit; frequently required to talk or hear; and occasionally required to stand, walk, use hands to finger, handle or feel, reach with hands and arms, stoop, kneel, crouch, or crawl. The employee must occasionally lift and or move up to 50 pounds. Specific vision abilities by this job include close distance and color vision.
