What You Will Do

The Senior Executive Assistant for the Quality, Health & Safety (QHS) organization will play a pivotal role in providing comprehensive administrative support to the Chief Quality Officer of Kenvue. The ideal candidate for this position will be a seasoned professional with a keen attention to detail, strong organizational skills, and the ability to adapt to a dynamic work environment. This individual will be responsible for managing executive calendars, coordinating with other administrative assistants, and ensuring the smooth operation of the QHS leadership team.

Key Responsibilities:

  • Calendar Management:
+ Maintain active and frequently changing executive calendars
+ Coordinate meetings, appointments, and events
+ Ensure executives are well-prepared and on schedule
  • Email Correspondence and Information Management:
+ Prepare and organize email correspondence
+ Maintain files and distribution lists
+ Assemble relevant data as directed by the executive
  • Collaboration with Other Administrative Assistants, Chief of Staff and team members
+ Coordinate with other administrative assistants to facilitate effective communication and support for QHS leadership
+ Work with QHS LT Chief of Staff on organizing team meetings, Global Connects and townhall
+ Support QHS Communication leader in publishing organizational correspondence
  • Travel Coordination:
+ Manage domestic and international travel arrangements for executives
+ Ensure executives are where they need to be with ample time for their missions
  • Meeting support:
+ Assist in organizing and facilitating leadership team meetings
+ Welcome and assist guests visiting from other sites
  • Reminder and Action Item Management:
+ Provide reminders of upcoming events and project-related deadlines
+ Maintain an active list of follow-up and action items on behalf of leadership
  • Reports and Presentations:
+ Coordinate, prepare, and edit reports and presentations
+ Maintain expense report records
+ Manage the team budget and open, track, and close purchase orders (POs)
  • Stakeholder Interaction:
+ Interact with staff and senior-level business partners from various regions worldwide
+ Coordinate and schedule live meetings and virtual meetings via Zoom, WebEx, and Global Connect
  • Event Coordination:
+ Coordinate team events and off-site meetings as needed
  • Advanced Executive Administrative Support:
+ Work under minimal supervision to perform advanced executive administrative support responsibilities
+ Compose email correspondence based on knowledge of the executive\'s intentions
+ Prepare documents of a highly confidential and sensitive nature
+ Maintain complex and fluid calendars
+ Execute rigorous follow-up to ensure issues are resolved and projects completed

Qualifications

  • A minimum of 5 years of experience supporting senior management is required
  • Advanced skills in Outlook, PowerPoint, Word, and Excel are required
  • Strong organizational skills and attention to detail are required
  • Experience with domestic and international travel arrangements is required
  • Excellent oral and written communication skills are required
  • Ability to work independently without constant direction
  • Strong teamwork and collaboration skills are required
  • Strong interpersonal, analytical, and problem-solving skills are required
  • Ability to exercise sound judgment and discretion, independently assess and resolve complex situations, and shift priorities as needed
  • Must demonstrate flexibility while maintaining a sense of urgency
  • This position requires up to 10% domestic travel
The anticipated base salary for this position is $71,400 to $115,920.
