Overview Part-time Executive Administrative Assistant at the United States Space Force Responsibilities
The applicant will provide direct customer support to the director of a major DoD/USAF program, as well as a staff of 70+ unit personnel.
Specific duties will include:
Tracking of personnel records and rosters
Statusing of personnel appraisals/awards and manpower/staffing plans
Tracking internal/external taskers and schedules to closure
Set up/scheduling of conference rooms
Operating audio/video equipment for video teleconferencing
Tracking personnel and program schedules
Tracking personnel travel using the Defense Travel System (DTS)
Maintaining the internal document control process
Records management
Liaise with local and parent units for tracking and implementation of required DoD personnel training
Planning and executing high level visits and division events; facilitating entry process, account set up and equipment issue for employees
Facilitating maintenance work orders and timesheet collection
Ordering supplies, pick up/delivery of mail
Fielding/supporting daily inquiries/requests from military, civilian and contractor staff.
Direct Commander support will include generating travel orders and vouchers in DTS, managing the commander\xe2\x80\x99s schedule, coordinating and scheduling meetings, supporting schedule reviews, and generating personal correspondence.
Additionally, the candidate will act as a liaison to the Wing\xe2\x80\x99s Commander\xe2\x80\x99s Action Group coordinating with external Public Affairs Offices.
Skills Required
The position requires at least seven years of combined industry and federal government experience, to include four years directly applicable experience as Executive Support.
Two years credit for a Bachelor\xe2\x80\x99s Degree and three years credit for a Master\xe2\x80\x99s Degree.
The applicant must be proficient in use of the M/S Office Suite of software, i.e., Word, PowerPoint, Excel and Outlook.
The applicant must possess superior oral and written communication skills, a reputation for meeting deadlines, proactive, excellent organization skills, and the ability to multi-task and work well with both internal and external parties in a dynamic, active professional environment.
