The Senior Communications Coordinator provides high-level administrative support to the Communications Department and manages, creates, and disseminates newsworthy information across all ACMG communication platforms including on the ACMG website, emails and newsletters to membership, and print and electronic publications. This also includes supporting social media for ACMG programmatic functions including the annual meeting, education, policy, and membership activity. This role resides in a fast-paced, deadline-oriented environment, requiring keen attention to detail, accuracy and the ability to manage multiple tasks and projects simultaneously.

The incumbent works closely with the ACMG Foundation and ACMG\xe2\x80\x99s advocacy, membership, meetings and education departments to assist in the development of consistent and relevant promotional information in accordance with ACMG communications plans and must be able to develop strong working relationships with staff, committees and members. This will also include collaborating with outside designers and vendors under the supervision of the Senior Director of Communications to ensure branding, deadlines, and quality standards are met.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate and manage electronic mailings through our association management system and member database, calendar and the monthly electronic newsletter with minimal supervision. Duties include sending reminders, follow-ups, formatting and compiling statistics on the mailing each month.
  • Take an active role in the coordination, planning and publication of The ACMG Medical Geneticist newsmagazine. Areas include coordinating conference calls to review the upcoming issue and taking minutes, drafting publications calendar and insertion of deadlines and ensuring deadlines are met, sending out a call for article submissions, and ensuring that writers understand ACMG\xe2\x80\x99s expectations. Further, the Sr. Coordinator will be responsible for coordinating the editing and proofing process of the articles and overseeing the designer\xe2\x80\x99s work and deadlines and distribution of the magazine to staff, the writers, and electronically.
  • Provide high level support to all areas of public and media relations. This includes drafting basic news releases and announcements, crafting effective and detailed emails, formatting and posting news releases, maintaining the media database, handling e-blasts to the media, and communicating with media as directed.
  • Take an active role in the Communications aspect of the ACMG Annual Meeting. Responsibilities include creating press kits from approved content, sending media blast via Informz, assisting in social media content creation, formatting all meeting related press releases, and working the on-site ACMG booth/press rooms during the Annual Meeting.
  • Integral role in the annual Medical Genetics Awareness Week international awareness campaign. Responsibilities include communications, logistics, building/fostering relationships with all in the medical genetics field, coordinating projects, exhibit hall assistance, designing and ordering products, etc.
  • Provide assistance and support for ACMG\xe2\x80\x99s social media communities. Duties to include; assisting the Communications manager with the maintenance of the social media calendar, growing our community of followers within the current social networks and by identifying emerging social networks and platforms, checking LinkedIn daily for member requests, drafting copy and optimize video tags & platforms to drive users to our websites and increase engagement and recommending creative approach/strategy for social media executions in support of marketing objectives for tune-in and digital media assets. Maintaining reports on community elements and creating reports on a monthly basis (ad hoc reports as necessary) to describe community activity and growth and gathering social media analytics at the beginning of each month.
  • Assisting with all updates and backups of the websites specifically for the Communications department which requires the Senior Communications Coordinator to be tech savvy and ability to interact with IT vendors and trouble-shoot problems.
  • Maintaining and organizing the press clip book, newsmagazines and shared staff folders.
  • Administrative duties as assigned including assisting in scheduling conference calls and calendaring.
  • Other similar job duties as assigned.
Communication and Public Relations
  • Manages contribution requests and reminders in order to create the monthly member only electronic newsletter
  • Organizes incoming and outgoing drafts and versions of member newsmagazine
  • Creation of basic ACMG news releases, subsequently followed by formatting them and adding them to the ACMG website and Newsroom
  • Coordinates any media requests to the Communications Director or appropriate recipient
  • Handles the formatting, technical aspects, review and distribution and compiling analytics for frequent ACMG communications including the monthly member ezine, Advocacy Alerts and other blast emails
  • Assists the Sr. Communication Director in daily tasks that include scheduling, planning, organizing and project completion
  • Assist in determining timelines and milestones for accomplishing projects and campaigns (i.e., Newsmagazine, E-zine, Medical Genetics Awareness Week)
  • Updating and managing updates for the ACMG website
  • Creation of novel approaches to enhancing the communications of both the College and Foundation via existing and new platforms
  • Capacity to successfully complete tasks of the Communications Manager when they are not available (i.e., social media scheduling, statistics, reports, projects, communications to colleagues internally and externally
  • Handwritten notes to authors and contributors of published articles
  • Provide assistance to Advocacy, Education, and other teams\xe2\x80\x99 communications on behalf of the College and Foundation
  • Coordinates scheduling and editing of video recordings
  • Managing and organizing of invoices and receipts of products and platforms dedicated to Communications and PR team
  • Daily proofreading for ACMG publications, website pages, etc.
  • Point-of-contact when Sr. Communications Director and Communications Manager are unavailable
The ACMG Annual Medical Genetics Meeting and Medical Genetics Awareness Week
  • Organizes Annual Meeting award announcements with recipients and ACMG Foundation team
  • Plans and coordinates media coverage of ACMGF Day of Caring event. Contacts media members and sponsors to attend.
  • Collaborates with Foundation team with award news releases, incoming/outgoing board members information, sponsor/donor event information, etc.
  • Point-of-contact for CVB, media members attending the Annual Meeting, Day of Caring and Medical Genetics Awareness Week
  • In-person engagement in and around Annual Meeting booth with attendees, exhibitors, and sponsors
  • Prepares a variety of news releases for the ACMG Annual Meeting
  • Spearhead, organize and manage Medical Genetics Awareness Week
  • Creation of creative and engaging campaigns for Medical Genetics Awareness Week. Drafting several campaign options prior to the Annual Meeting
  • Coordinates video recordings for Medical Genetics Awareness Week and Annual Meeting - Day of Caring
  • Managing of invoices and receipts dedicated to Medical Genetics Awareness Week and Annual Meeting
  • Organization of giveaways and merchandise inventories
  • Engagement with attendees in-person and digitally in regard to supporting Medical Genetics Awareness Week
  • Analysis of past Annual Meetings and Medical Genetics Awareness Weeks; and long-term planning of future ones
  • Point-of-contact for vendors producing items for the Annual Meeting
Administrative Duties
  • Assisting in scheduling conference calls and Zoom meetings for Communications team, updating Staff Calendar, appointments and meetings on behalf of the Sr. Communications Director
  • Coordination and delivery of ACMG published goods to authors, contributors and staff
  • Organization of Communications/PR team archives and Clipbook
  • Requesting of office supplies for team members if needed
  • Capacity to complete numerous administrative tasks for Communications team
Qualifications
  • HS diploma or GED required; BA in Communications, Business, Public Relations, Journalism, Marketing, or Administration preferred.
  • 3-5 years of work experience in a communications or public relations, administrative, or support role.
  • Must be able to seamlessly manage a heavy work volume in an exciting, fast-paced environment and handle multiple projects and deadlines on a daily basis.
  • Experience in an association, nonprofit, society, or hospital setting a plus.
  • A passion and genuine interest in the field of genetics, science, or health.
  • Ability to work efficiently and independently as well as with a team and build strong relationships with other staff, vendors, members and media.
  • Excellent proofreading and editing skills, strong written and oral communication skills and the ability to communicate in writing i.e., email in a professional manner.
  • In all activities, organization, accuracy, attention to detail, thoroughness, discretion, and an ability to manage frequent, multiple deadlines are of utmost importance.
  • Proficiency in the full Microsoft Office Suite, including Word, Excel, and PPT, as well as in Adobe Acrobat.
  • Proficiency in Informz (Higher Logic or other association management/CRM system), IMIS, Canva, and social media platforms are strongly preferred.
  • Ability to learn technology quickly (modernizing platforms and program updates).
  • Ability to build and maintain productive and professional working relationships with team members and other departments
ADA SPECIFICATIONS

This is a largely sedentary position that requires the ability to speak, hear, see and lift small objects up to 35 lbs. Ability to travel domestically occasionally, up to 10%.
