Performs administrative support functions for Iowa State Patrol Commercial Motor Vehicle Unit (CMVU) Major, Captains, Grant Manager and Lieutenants. Maintains area map and roster. Compiles statistical data needed to generate monthly and year to date reports for MCSAP grants and Size and Weight Plan. Assist in creation of departmental forms for use in Word and Excel. Serves as the liaison for all 99 County Attorney\'s Offices/Clerk of Court for requested reports and videos. Opens, distributes office mail, including MCSAP inspections returned to Iowa State Patrol Headquarters. Review all correspondence and distribute to appropriate staff.

Shares the responsibility of answering incoming telephone calls to State Patrol Headquarters in a polite, professional, and timely manner. Telephone calls are handled by using available resources, personal knowledge or routed to appropriate staff.

Responsible for compiling, maintaining and submitting payroll data. Reviews Time and Activity Reports (TARS), Workday and completes attendance sheets to ensure accuracy in Troopers work hours and proper billing to grants.

Runs weekly tow reports to ensure compliance with the process outlined in Iowa code 321.89. Coordinates and prepares travel requests (in-state and out-of-state) and arrangements to ensure billing to proper cost center / grant. Coordinate escort bills for escorts performed by Troopers to ensure proper billing to the motor carrier. Attends meetings as needed to take minutes of proceedings for review by Command Staff.

Minimum Qualification Requirements

Experience equal to two years of full-time general office work, one year of which must have involved secretarial or related administrative support duties;

OR post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;

OR completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required general office experience;

OR certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR employees with current continuous experience in the state executive branch that includes the equivalent of one year of full-time work as a Secretary 1.
