The Program Manager is an integral part of the Executive MBA (EMBA) Program Team of the Owen Graduate School of Management at Vanderbilt University. Reporting directly to the Executive Director, the Program Manager works in a lead role with Recruiting and Admissions and supports the Student Services team. The Program Manager serves as a key individual contributor ensuring seamless execution of multiple complex priorities including recruiting, admissions, program delivery and student services.

About the Work Unit:

The Owen Graduate School of Management (OGSM) is a professional school at Vanderbilt University, located in Nashville, Tennessee. The Executive MBA program recruits and provides student services for working professional students who are balancing work, family, and personal obligations. Team members must serve as representatives of the University, with frequent evening and weekend work hours and travel. The EMBA Team is small, hard-working, and collaborative managing multiple internal and external priorities, working closely with prospective and current students, faculty, alumni, and other key stakeholders.

Duties and Responsibilities

Recruiting and Admissions:

  • Responsible for input, maintenance, and direct outreach of EMBA inquiries and purchased names, including data manipulation, (over 1,500 per year) in the Slate database.
  • Manage calendar items in Slate and on Owen website with OGSM Marketing and Communication team to keep information on all events current and up to date. Track registration and attendance for events in Slate.
  • Independently develop and pull Slate queries to support recruiting targeting and messaging.
  • Interact one-one-one with prospective working professional as well with groups of prospective applicants at both virtual and in-person recruiting events. Schedule interview appointments for qualified applicants.
  • Primarily responsible for tracking applicants through the admissions process including identifying qualified candidates. Work closely with the Associate Director of Recruiting to determine the probability that applicants in process will matriculate.
  • Manage Tame the Test (five series per year) for prospective students, including scheduling, registration, faculty TA support and meal planning.
  • Maintain student application files and prepare files for admissions committee review in highly confidential manner to ensure the protection of sensitive information.
  • Partner with enrollment services to ensure university PeopleSoft and YES systems are accurate.
  • Develop and maintain thorough working knowledge of scholarships, VA benefits, third party billing for employer sponsored students and other enrollment to respond to questions from enrolling and current students by developing working relationship with university registrar office, student accounts, and financial aid offices.
Office Operations Manager:
  • Oversee and manage EMBA office and student activities including email and calendar management, correspondence, travel, and other year-round updates.
  • Serve as the secondary lead of EMBA Recruiting and Admissions, supports the Director of Student Services and Associate Director of Operations and Communications.
  • Manage inventory, order, and restock supplies. Maintain the condition EMBA spaces including office and catering supplies, beverages and snacks, one-off custodial arrangements, facility management, etc.
  • Manage VU OneCard in accordance with the Vanderbilt University policy and thoroughly track expenses to ensure that all expenses align with preset budget.
Frontline Communications:
  • Require preeminent organizational and process skills with working closely with business executives who comprise our working professional students, prospect population, and occasionally with the working professionals/executives who are participants in Executive Education programs.
  • Respond to the main EMBA phone and email inquiries from prospective or current students and alumni. Manage walk-in prospective and current students and alumni visitors.
Student Services Support:
  • Provide onsite support for student services functions for working professional students who live in multiple states and require frequent concierge-level service because they are remote from campus in-between biweekly classes. Assist program faculty as needed to insure an excellent student experience.
  • Maintain contact information for EMBA students including the class roster, directory, social media platforms, and the alumni roster for each graduating class and assist with maintaining and posting routine information to the learning management system (BrightSpace).
  • Reserve classrooms, guest parking, and other rooms as necessary to support Executive Programs.
  • Assist with routine bi-weekly Saturday class day and special events details 2-3 times per year.
Supervisory Relationships:

This position is the primary supervisor for all undergraduate student workers (average three per academic year). The position reports administratively and functionally to the Executive Director of Executive MBA Programs.

Qualifications
  • Bachelor\'s degree is required; Master\'s degree is strongly preferred.
  • Skills in multi-tasking and the Microsoft Office suite (Word, Excel, PowerPoint) are essential.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) is necessary.
  • Proficiency with a CRM system is necessary; SLATE experience is preferred.
  • Somephysical activity and light lifting to manage stocking of supplies, set up and distribution of student materials is necessary.
  • Maturity and judgment in confidential situations involving student crises (academic issues, job changes, studygroup conflicts, family illness, etc.) is necessary.
  • This position requires an experienced person who is self-directed within constraints of assigned tasks (planning a month or more in advance and managing multiple tasks at various stages simultaneously).
