The Global Health Advocacy Incubator (GHAI) supports civil society organizations advocating for public health policies that reduce death and disease. We bring a proven advocacy approach and a global network of local partners, built on a 25-year track record of success across multiple issues in more than 60 countries. GHAI is an initiative of the Campaign for Tobacco-Free Kids.


The Global Health Advocacy Incubator (GHAI) provides strategic support to advocates working in over 40 countries to enact and implement laws that save lives and is a leading policy advocacy voice on a range of issues including food policy, road safety, cardiovascular health, drowning prevention, civil registration & vital statistics, preventing epidemics, and maternal and reproductive health, among others. Our history is rooted in one of the most successful public health campaigns \xe2\x80\x94 tobacco control. Building on the successes and lessons learned in the global fight against tobacco deaths, the Campaign for Tobacco-Free Kids (CTFK) launched the Global Health Advocacy Incubator in 2014 to strengthen advocacy capacity to improve public health around the globe using a locally-led approach that is adaptable to culture, political context and issue area.


The GHAI Program Associate provides essential administrative and operational support for GHAI\xe2\x80\x99s Senior Vice President (SVP) and Core team, and on an as able basis to other members of the team. The Program Associate will be exposed to a wide range of responsibilities, working closely with the SVP, supporting various organizational, programmatic, and research projects, and coordinating meeting and outreach with partners, GHAI program teams in the U.S. and globally, and others. This position reports to the SVP and works closely with the Core team which is made up of a Director of Communications, Director of Marketing and Outreach, Director of Capacity Strengthening and a Program Associate.

WHAT YOU\'LL ACCOMPLISH:

  • Oversees and manages the SVP\xe2\x80\x99s calendar and schedule.
  • Tracks deadlines and deliverables for projects that the SVP and Core team spearheads coordinating with other staff as needed.
  • Process invoices for approval and payment from consultants, vendors, and reconcile monthly credit card billing statements
  • Drafts written correspondence and materials for the SVP, including meeting notes, agendas, talking points, presentation decks, reports, social media posts, etc.
  • Working with the Director of Communication and Director of Marketing and Outreach, assists with blog posts, social media posts and updates to the GHAI website; provides support to the process to redesign the GHAI website.
  • Provides administrative and logistical support for GHAI team meetings including; meeting scheduling and logistics, drafting minutes, agenda development, tracking and following up on CEO/EVP requests, preparing materials, and working with related consultants.
  • Provides support on a range of administrative tasks such as expense reporting, capturing notes and action items from meetings, and organizing team meetings.
  • Conducts research and develops materials to prepare the SVP for meetings with key stakeholders, funders, and other executives.
  • Manages the knowledge management systems, including the organization and maintenance of shared drives and related content.
  • Organizes virtual and in-person events and meetings hosted by GHAI including scheduling, video conference platform and/or venue selection, catering, RSVP management, and materials preparation; manages logistical and technical needs for phone calls, phone conferences, webinars, virtual and in-person meetings.
  • Arranges travel for the SVP including preparation of agendas, itineraries, and other logistics.
  • Actively participates in contributing to an inclusive, learning-based culture.
  • Provides support to the SVP on special projects.

SKILLS YOU\'LL BRING TO THE ROLE:

  • Bachelor\xe2\x80\x99s degree or equivalent and up to two years of relevant program or administrative experience
  • Highly organized, detail-oriented
  • Strong project management skills, including the ability to manage multiple details, projects and competing deadlines
  • Exceptional writing abilities
  • Excellent interpersonal and problem-solving skills
  • Demonstrated capacity to work with executives
  • Highly efficient in Microsoft Office software; Microsoft Word, Excel, PowerPoint, and Outlook
  • Experience with Adobe, Canva, and other graphic design platforms a plus
  • Experience with phone conferencing and virtual meeting applications
  • Highly motivated, with an energetic, entrepreneurial attitude
  • Ability to work as a self-starter and as part of a growing team
  • A strong commitment to confidentiality
