Job Description

Duties/Responsibilities: The following duties are normal for this position. These are not to be construed as exclusive or all?inclusive. Other duties may be required and assigned.



Monitors all persons and phone calls entering the Office of Family Court Services (FCS) providing reception duties to clients and collateral contacts including but not limited to attorneys, law enforcement, etc. Provides client information, forwards calls, arranges telephone conference calls and speaker phone calls. Responds to general inquiries regarding operations of the department. Returns telephone calls as requested and performs all of the above duties in a secondary/back-up capacity to the Family Court Commissioner's office. Prepares and maintains calendar for FCS cases. Keeps Family Court Services Coordinator calendar of appointments, meetings and other events. Enters and updates appropriate Outlook and CCAP calendar information. Assists in the coordination of meetings between attorneys, custody assessment team psychologist, family court counselors, clients, the supervised visitation center, and workers of various other related departments and fields. Reschedules appointments when necessary. Completes various electronic forms for case management purposes using Microsoft Word and CCAP. Documents must be completed in a timely manner and with accuracy. Must be able to prioritize work. Process new orders for placement mediation, supervised placement, custody evaluations and educational programs. Handles scheduling of FCS appointments associated with these Orders. Assembles Custody Assessment Team written materials. Verifies that all forms have been returned and completed correctly. Processes educational program attendance forms and fees. Coordinates educational program supply needs and calendars with appropriate agencies. Prepares monthly deposit of program fees. Inputs data into Access database for mediation orders, education program participants, custody evaluation clients and supervised placement cases. Coordinates appointments for the Pro Se Legal Clinic and prepares forms for said appointments. Process all department mail and all department e-mails. Maintain FCS electronic, CCAP and physical files. Destroys mediation physical files on annual basis. Researches court records as required. Keeps staff up to date in the matters involving FCS. Maintains departmental information on the Fond du Lac County website. Prepares petty cash deposits. Maintains FCS Assistant Handbook. Maintains department office supply inventory. Maintains all printing needs through Central Services. Maintains the confidentiality of clients and records as mandated. Other duties that may be required or assigned.

Desirable Knowledge and Abilities:



Working knowledge of word perfect, legal and business English, spelling and grammar. Knowledge of court procedures and modern office practices, procedures and clerical processes. Ability to operate a personal computer and type accurately. Ability to exercise discretion regarding confidentiality in court proceedings. Ability to communicate effectively, calmly, and professionally in person and by telephone. Ability to establish and maintain effective working relationships with employees within the office, other court personnel and with employees of other agencies in the legal profession, and the general public. Ability to work independently. Work must be completed in a timely and accurately. Must be able to prioritize work.

Training and Experience:



High school diploma and 1-2 years of secretarial experience. Previous experience using Microsoft Word, Excel and Access, and proficient typing and keyboarding skills required.
