This position provides customer service and administrative support to the Recreation & Parks department and the Community Activity Center. This role provides general administrative and clerical support and services to Program Supervisors and the Facility Coordinator.

Essential Duties and Responsibilities

Answer and route phone calls and greet/direct walk-in public. Assist with potential emergency situations from the public or co-workers.
Perform department activities and services such as processing program registrations, refunds, and requisitions.
Perform a variety of routine/complex general administrative support and assistance activities:
+ Process daily cash, check and credit card transactions
+ Assist with the scheduling and rental of facilities/fields to include banquet rooms, picnic areas, fields and ice
+ Assist with the supervision of facility
+ Train new employees in proper office procedures and operation of office equipment, including cash register. Continually update staff with changes, new procedures and programs.
+ Ensure communications and the changes are consistent for all staff who work varying schedules
+ Assign tasks/projects to employees and organize work loads to meet completion schedule
+ Pickup, deliver, sort and distribute mail
+ Maintain files Performs other duties as assigned.
Minimum and Desired Qualifications

Education
High school graduate or equivalent.
Experience
Two (2) years of office or administrative assistant experience.
Equivalency
An equivalent combination of education and experience closely related to the duties of the position MAY be considered.
Knowledge, Skills and Abilities
Excellent attention to detail and ability to catch errors in work.
Skilled in organizing, multitasking, and prioritizing work in a deadline driven environment.
Skilled in using Excel, Word, and email software applications.
Ability to work independently with minimal supervision/direction.

Desired Qualifications
Two (2)-year associate degree in a related field.
Previous experience in a recreational facility or community activity center.
Undergraduate coursework in business administration.
Experience working with recreation registration software programs.
Experience providing public-facing customer service.
Experience providing employee training in an office environment.
Knowledge or previous experience in applying basic accounting functions
Experience working with people from various cultural, socioeconomic, racial, and ethnic backgrounds.
Fluency in Spanish, Hmong, Russian, Somali, Lao or Vietnamese language(s).

Core business hours are set by departments based on operational needs. Alternative schedules can be arranged, but must comply with the City's Alternative Work Arrangement policy.
Tuesday - Saturday with the hours between 1:00 p.m. to 10 p.m.
Full-time, non-exempt, non-union position with a work schedule of 40 hours per week.
Office environment; exposure to computer screens; working closely with others, frequent interruptions.
Sitting or standing for prolonged periods of time; general manual dexterity; adequate hearing, vision and speech required.
Works with irate customers at the counter. Must have de-escalation skills and abilities.
