Job Summary
Provides service and support to the Special Operations Division, including coordination of billing, event security staffing, and other logistical needs for University sponsored campus functions and events. Responsible for reviewing and ensuring that all business transactions follow established fiscal procedures of the University. Assists with the development, implementation and communication of policies and procedures. Serves as a Campus Security Authority as defined by the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act).
Responsibilities
KEY RESPONSIBILITIES: 1. Assists with and prepares required business transactions, analysis, and annual reporting 2. Works with operational and fiscal units to establish correct accounting of staff-hours, equipment usage and other support resource costs for the department\'s participation in special events 3. Provides professional client services in the planning, organizing, and managing of internal and external events, to include logistics, registration and personnel tracking, presentation and materials and pre-and post-event evaluations 4. Coordinates necessary arrangements with campus supports groups for events (Catering, Building Services, Public Safety, UITS, Residence Life, Parking, etc.) 5. Coordinates staffing for appropriate event coverage and oversees event set-up to breakdown 6. Produces contracts and invoices for events, monitors the collection of fees, and provides payment information to appropriate personnel 7. Provides on-site event support including after-hours and weekend events on both campuses and/or other venues as assigned 8. Assists the division in the planning and execution of annual campus and high profile events 9. Serves as administrator of sign-up system for events requiring the presence of sworn or non- sworn public safety personnel 10. Assigns personnel ensuring events are covered appropriately 11. Works closely with internal and external public safety agencies, and other departments to coordinate event needs 12. Assists in managing events calendars and monitoring emails after-hours and weekends 13. Serves as liaison between assigned area and other units within the department and university 14. Registers employees for training, purchases equipment, supplies, etc. for the department 15. Uses and maintains the department Purchasing Card (PCard) and ensures fiscal policies and procedures are followed
Required Qualifications
Educational Requirements High School diploma or equivalent
Other Required Qualifications Current, valid, and unrestricted driver\'s license
Required Experience Three (3) years of related work experience
Preferred Qualifications
Preferred Educational Qualifications Bachelor\'s degree in a related field
Preferred Experience Previous work experience in payroll or timekeeping Previous work experience in event planning and customer service Previous experience in public safety events management
Proposed Salary
