Position Title: Operations Administrator

Position Summary:

The Operations Administrator provides administrative support to the Choice Neighborhoods staff; in addition, ensures that CN events and projects are coordinated and managed in an efficient manner. Strong individual contributor with technical knowledge; proven ability to independently manage small to large projects. Proficient at analytical research, contract management and report development with ability to write scopes of work and prepare documents on behalf of the Director(s). Keen ability to communicate well with CN partner organizations to solve problems. Excellent interpersonal, organizational, and planning skills and solid verbal and written communication skills. Ability to fully execute assignments with minimal supervision and to work cohesively and constructively with CN team members. The position will be domiciled at the CN Office. From time-to-time may serve as back-up to the Operations Administrator that supports the Sr. Vice President, Choice Neighborhoods.

Essential Duties and Responsibilities:

  • Support two (2) Directors and two (2) Managers by performing various operational/administrative duties to ensure efficient operation.
  • Serve as primary point of contact for CN Office administrative matters including office management, security, IT and other operational logistics. Actively promote and ensure clear communication within the CN Department and facilitate interdepartmental communication.
  • Oversee the ordering of supplies; manage CN Office supply budget according to company guidelines.
  • Manage calendars, screen mail and callers; manage travel requests and reimbursements; ascertain importance of various issues and route inquiries to appropriate personnel.
  • Support the Director of Partnerships and Engagement in the management of sub-grantee contractual relationships with CN sub-grantees and other service providers; review invoices for payment and ensure compliance with people partner contract provisions; lead file management.
  • Research, compile and summarize information for Directors, formulate correspondence and respond to various inquiries from internal and external customers.
  • Perform word processing and desktop publishing to include presentations, spreadsheets, and graphs; may be required to take meeting and/or conference call minutes.
  • Serve as the Workday and SharePoint SME for the CN team. Act as CN SharePoint Administrator in collaboration with IT.
  • Manage the planning, coordination and implementation of CN related events and projects; support planning and activities related to community events.
  • Maintain various databases of groups of stakeholders and provide accessibility to team members.
  • Attend CN partner, resident and community events and meetings as needed and requested.
  • May be required to perform other related duties as required and/or assigned.
Knowledge and Skill Requirements:

Excellent written and oral communication skills are required.
  • Must be a team player, able to interface with levels of AH team members, partners, community residents, high level executives and officers outside the company.
  • Accuracy is required in performing all functions of this position. Must demonstrate sound judgment, tact and diplomacy in dealing with internal and external customers.
  • Being proactive and having solid organizational skills are necessary to ensure a smooth office operation.
  • Ability to write scopes of work and documents without direct supervision.
  • Ability to multitask and to prioritize work activities in an environment with competing demands to accomplish goals in the most effective and efficient manner.
  • Excellent service provider requiring minimal direction and oversight.
  • Intermediate to advanced proficiency in MS Office suite of software including PowerPoint and Visio.
  • Working knowledge of additional software such as MS Project, Adobe PDF and Photoshop is a plus.
Education and Experience:
  • Bachelor\xe2\x80\x99s degree in a field related to community development with a minimum of six years of progressively responsible administrative experience required; or an equivalent combination of education and experience.
  • Previous experience supporting director level and above positions is a strong preference.
Working Conditions:

Work is in an office environment in the assigned community. May require some bending, stooping, reaching and prolonged sitting. Must have and maintain a valid state of Georgia driver\xe2\x80\x99s license and be fully insurable for the purpose of obtaining clearance on company \xe2\x80\x9cAuthorized Drivers List.\xe2\x80\x9d Must be able to occasionally attend community meetings during evening and weekend hours.
