Office Manager (part-time), Office of Global Services - Georgetown University Main Campus

Georgetown\xe2\x80\x99s serves as a resource for schools, faculty, and administrators engaged globally and for international students and scholars here on campus. Our mission is to serve and support the Georgetown community in engaging a more open and connected world.

The Office Manager - in a part-time (30 hours) role - provides front desk and office management for the Office of Global Services and provides administrative support. As the principal receptionist and initial point of contact (both in person and by telephone) for more than 3500 OGS visitors and clients, they of effectively route the flow of office traffic and establish a positive first impression.

Reporting to the Director of the Office of Global Services, the Office Manager has duties that include but are not limited to:

Front Desk Management

  • Serves as the principal receptionist for the Office of Global Services (OGS)
  • Greets all visitors, ascertains their needs, and routes them to the appropriate person/resource.
  • Provides support in maintaining the online scheduling tool (You Can Book Me) and the visitor management system (Greetly)
  • Manages the pick-up and drop-off of immigration documents, ensuring that they are kept secure and delivered to the correct individual
  • Handles all incoming calls on a busy, multi-line telephone system
General Office Management
  • Ensures that the office environment is meticulous and well-organized, well-maintained, and stocked daily
  • Inventories office supplies and places and checks standard office supply orders, including toner and fuser modules for office equipment
  • Handles special supply orders, including letterhead, technology, business cards, and other special products
  • Serves as the primary contact for facilities work requests and equipment maintenance, including copier, fax machine, and other equipment (excluding computers)
  • Serves as the point of contact for all staff inquiries and issues, communicates resolutions and next steps to the OGS staff, and consults with the Director as appropriate
  • Serves as GMS Department Administrator and Timekeeper for OGS
  • Manages the OGS general email accounts and other general inquiries as assigned
  • Prepares and submits paperwork for the hiring of front desk student employees, trains the students, and approves work hours in GMS for front desk student employees
  • Serves as the backup to supervisors in GMS for approving time for hourly staff and student employees
OGS Administrative and Financial Support
  • Supports OGS in administrative and clerical projects, which may include database entry, formatting documents, spreadsheet creation and maintenance, immigration document processing, and other tasks as assigned
  • Supports the recruiting and onboarding process for new OGS staff, to include but not limited to setting up candidate interviews, sending welcome emails to new staff, and issuing office equipment
  • Serves as GMS Requisitioner for OGS and ensures that contracts and invoices are processed in a timely manner
  • Represents OGS and OGE at relevant Georgetown administrative meetings and other office/building-related meetings
  • This position participates in university trainings as needed for the effective completion of assigned responsibilities
Qualifications
  • High School diploma and 2 to 4 years of relevant experience [note: consideration will be given to an equivalent combination of education and relevant experience]
  • Must be familiar with handling inquiries, telecommunications systems, Microsoft Office systems, email, and other office programs
  • Strong verbal skills are necessary
  • Experience using databases, Excel, and document editing/formatting
  • Understanding of the mission of international education
  • Experience that demonstrates sensitivity to and acceptance of personal and cultural differences in people; and ability to relate well to students and scholars from diverse cultural and educational backgrounds
  • Ability to troubleshoot problems, identify necessary next steps, and follow through to resolution
  • Ability to multitask and prioritize while tracking several ongoing projects

  • Ability to present a friendly, courteous, and professional demeanor
