Job Summary


We are seeking a dynamic and highly organized Office Manager / Bookkeeper to oversee daily administrative operations and manage financial records within our busy office environment. This role combines essential office management duties with comprehensive bookkeeping responsibilities, ensuring smooth workflow, accurate financial tracking, and effective team coordination. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming workplace.

Responsibilities



Manage day-to-day office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy Oversee scheduling and calendar management for staff appointments, meetings, and events to optimize productivity Supervise administrative staff and provide training & development opportunities to enhance team performance Handle vendor management by coordinating service providers, negotiating contracts, and maintaining positive relationships Maintain accurate bookkeeping records using QuickBooks or similar accounting software; process invoices, track expenses, and reconcile accounts Manage payroll processing in collaboration with human resources to ensure timely and accurate employee compensation Assist with budgeting activities by monitoring expenses, preparing financial reports, and supporting financial planning efforts Organize filing systems for medical or general office documents to ensure easy retrieval and compliance with data privacy standards Support human resources functions such as onboarding new employees, maintaining personnel files, and managing HR documentation Coordinate event planning for company functions or community outreach initiatives to promote engagement and team spirit

Skills



Proven experience in office management combined with bookkeeping expertise using QuickBooks or comparable software Strong supervisory experience with the ability to lead and motivate administrative teams Excellent organizational skills with keen attention to detail in filing, scheduling, and record keeping Effective communication skills for interacting with staff, vendors, clients, and visitors via phone etiquette and professional correspondence Proficiency in calendar management tools and multi-line phone systems for efficient schedule coordination Knowledge of human resources procedures including payroll processing, employee onboarding, and HR compliance Experience in event planning to coordinate meetings, company events, or community activities Ability to manage vendor relationships effectively while negotiating contracts and ensuring service quality Familiarity with medical office management or clerical experience is a plus but not required Strong multitasking abilities to handle administrative duties alongside financial responsibilities seamlessly
