DESCRIPTION

What You\'ll Be Doing

In this role you will report directly to the North America Head of Mail Services in NY and provide operational support, guidance, and monitoring of all Mail and Distribution Services.
You will manage the day-to-day activities of the Mail and Distribution Services team including: inbound and outbound mail processing/delivery; scanning / recording / processing of high volumes of undeliverable mail using internally developed Digital Mail Workflow (DMW) application; distribution fulfillment of prospectus and other corporate filings; courier support including overnight shipping, messenger deliveries as well as bulk standard and secure shipping services; national branch postal support including meter leasing, and postal intervention for >600 Wealth Management and Institutional branches.


You Will:

  • Monitor reporting of volumes, SLA\'s and site audits ensuring standards are met and are consistent
  • Perform regular site visits to the NY campus buildings and mailroom locations validating they are being properly maintained and are meeting the agreed upon standard
  • Work with vendor and monitor messenger and secure shipping requests; maintaining and regularly updating process documentation
  • Lead weekly vendor / staff calls, memorializing minutes and participating in vendor QBR meetings
  • Work closely with vendors on day to day activity relating to Courier shipment processing as well as our national Pitney Bowes postage machine fleet management, equipment leasing and right sizing
  • Client relationship manager for Wealth Management (WM); developing and maintaining relationships with key stakeholders in WM
  • Technology Product Ownership of DWM application
  • Partnering with Wealth Management and ISG Business Units and Tech Developers on DMW functionality roadmap
  • Monitor undeliverable return Mail volumes and SLA\'S including daily review of processing workloads to ensure requirements and additional volumes are completed correctly and on time.
  • Work with vendor staff to become fully knowledgeable of the various return mail products that are processed through the central mailroom and all supporting software components
  • Work with the vendor to become familiar with the highly regulated ISG prospectus fulfillment process
  • Attend NYC Postal Council meetings to obtain information on new postal regulations as well as new postal products.
  • Work with Business Units on Mail Services Related projects
  • Work with internal support groups on special projects and initiatives (i.e., Digital Mail, regulatory reviews, build outs, etc.,)




QUALIFICATIONS
  • + 5 years of experience in logistics with focus on corporate mail, courier shipping and fulfillment.
  • Understanding the core MDS functions that support optimization of a large dispersed employee population.
  • Excellent communication and interpersonal skills, with the ability to form working relationships.
  • Bachelor\'s degree,
  • Comfortable in a demanding and fast-paced environment; ability to coordinate priorities as per business needs
  • Resourceful, independent self-starter
  • Proficient in MS Office
  • Effective organizational and project management skills, including the ability to prioritize workload to meet deliverable deadlines
  • Client-focused with ability to anticipate needs, address clients\' expectations and cooperate to achieve objectives
  • Strong oral and written communication skills, able to synthesize data and clearly articulate complex ideas



Expected base pay rates for the role will be between 75,000 and 130,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
