Job Purpose

Performs paralegal duties for Advocacy and LGBTQ+ clinics within the Center for Civil and Human Rights. Assists the clinical faculty members in performing a broad range of administrative duties, including grant application and reporting. The position also performs a wide range of complex administrative, student support, event planning, and budgetary duties for the Center for Civil and Human Rights. The candidate develops and maintains strong professional relationships and works collaboratively with a variety of internal and external stakeholders, and is expected to function professionally with and without direct supervision, using discretion, professional judgment, and maintaining confidentiality.

Function Details

  • Performs paralegal duties, including but not limited to drafting and finalizing pleadings, correspondence, and other legal documents, maintains a client caseload. Performs complex administrative support work for the supervising attorneys. Assists the clinic supervisors, law clerks, and legal interns. Instructs students and faculty on court procedures and legal office procedures (e.g., network, family law software, legal forms, and timekeeping). Reviews client applications for service, including screening and responding to incoming calls and applications, interviewing clients, and makes referrals to outside agencies as needed.
  • Interacts with law clinic students on a daily basis, providing procedural and basic legal information and guidance.
  • Interacts with a broad range of clients and members of area agencies and the legal community.
  • Performs all work with attention to detail, accuracy, and compliance with legal procedural requirements.
  • Monitors Court dockets for active cases, files court pleadings as needed for active cases, and works with students on case file management and organization.
  • Ensures that legal documents are prepared according to established formats. Checks legal citations and references, ensures that legal documents are prepared in accordance with established formats, type legal documents from note taking records, tapes, CDs, handwritten or rough-typed drafts.
  • Acts as a liaison with grant administrators; prepares monthly and periodic statistical reports and annual grant renewal applications.

  • Performs duties associated with scheduling, organizing, and operating conferences, seminars, events, legal and advocacy clinics, and meetings, including coordinating logistics.
  • Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, internet, and Gonzaga-specific database programs.
  • Use spreadsheet and database software to create and monitor budget and track expenses.
  • Assists with correspondence and proofreading, as assigned.
  • Maintains professional and accurate records including confidential records, grades, reports, and information, both in electronic and written format. Also facilitates the transmission of accurate records, grades, reports and information to other departments.
  • Schedules and coordinates appointments, calendars, meetings, travel and other events, including the procurement of logistical needs.
  • Monitors assigned website(s) and calendar(s) to keep both up to date with changes and events.
  • Assists Directors with creating and maintaining processes, systems, policies, and procedures for annual and reoccurring programming and events.
  • Submits and monitors work orders for office and department members.
  • Maintains and orders supplies for the office.

Minimum Qualifications
  • Vocational. Associates, Technical degree
  • Two or more years of support experience in the higher education field
  • Three or more years of legal experience as a legal assistant and/or paralegal.
  • Ability to relate and work well with diverse groups of people while representing the Law School in a professional manner.
  • Strong verbal and written communication skills necessary to communicate job-related processes to internal and external customers.
  • Microsoft Word skills to include the ability to create reports, containing graphs and other intermediate functions (e.g. perform mail merge, insert table of contents).
  • Microsoft Excel skills to include the ability to create spreadsheets (e.g. formulas, filters, graphs).
  • Maintain composure in a fast-paced work environment.
  • Demonstrated ability to manage competing priorities with frequent interruptions.
  • Demonstrated ability to operate with a high level of confidently and discretion.
  • Demonstrated ability to accurately input data into various systems.
Desired Qualifications
  • Ability to independently learn and work with internal software and programs like Concur
  • Proficient in creating table of contents and table of authorities
  • Status as registered paralegal.
  • Current Notary Public.
