Are you a personable, superbly organized, multitasking, creative person who is looking to work with a caring, hardworking team? We are a small specialty physical therapy clinic that is looking for an experienced front desk receptionist to join our team. Do you love interacting with people and taking part in a team focused setting? On a day to day basis you would partake in daily patient facing tasks to provide exemplary customer service and support our team approach to care. This role requires creativity, collaboration, attention to detail and organization. Our ideal candidate would work 15-20 hours a week and we have some flexibility with schedule. Job Summary: The Front Desk Receptionist greets patients, alerts the therapists (electronically) when patients have arrived, takes payments, enters payments and new patient information, takes and returns phone calls, schedules patients, keeps up with ensuring correct paperwork is signed, scanned, faxed and tracked, and follows through with requests from staff. Job Scope: The Front Desk Receptionist reports to the office manager and owner and is responsible for providing reception services to Kinesphere Physical Therapy. This includes maintaining rapport with patients, accurate entry into the electronic medical system, explanation of insurance benefits, organization with tasks that need to be completed for patients and therapists, maintaining the office with supplies and cleanliness. Principle Duties/Responsibilities:

  • Greet patients and provide friendly customer service for all situations
  • Provide all administrative support as requested by owner, back office manager and clinical staff
  • Answer phones and take accurate messages
  • Schedule patients according to guidelines or directions from administrative and clinical staff
  • Send out forms and letters related to upcoming appointments
  • Check patients in and out
  • Alert therapists patients have arrived per electronic chat system
  • Process patient payments and provide receipts as requested
  • Pursue collection of patient due accounts in person and over the phone
  • Enter patient data into electronic medical records system
  • Scan and upload all documents related to a patient
  • Participate in office supply inventory and maintain front office and reception area
  • Refill supplies when necessary
  • Maintain petty cash and prepare money for weekly deposits
  • Be knowledgeable about services offered so to provide accurate answers to questions
  • Promote and market Kinesphere Physical Therapy
  • Assist with special projects related to: website, newsletters, social media and events
  • Ensure protection and security of files and records
  • Transfer and dispose of records according to schedules and policies
  • Maintain confidentiality of patients and adhere to HIPAA guidelines
  • Participate in quality assurance activities and problem solving to improve practice as requested
  • Keep track of inventory and vocalize when additional orders are needed
  • Maintain professionalism, confidentiality and security at all times
  • Maintain office equipment
Other Duties/Responsibilities:
  • Develop and attend business wide training programs such as safety training, human resource training, etc
  • Participate in staff meetings
  • Maintain neatness/cleanliness of common areas during business hours as needed
  • Ask screening questions, clean common spaces, request handwashing from patients, record daily temperatures of staff
  • Maintain a pleasant and professional work environment
  • Support and articulate the Company mission statement
  • Adhere to all office and company policies and procedures
  • Perform other related duties as requested and required
  • Collaborate with back office manager for additional tasks
Skills/Knowledge/Qualifications:
  • Friendly, excellent customer service background in a reception setting (medical office preferred, physical therapy office a bonus)
  • Excellent computer skills including knowledge of Windows and Microsoft Office programs
  • Analytical, problem solving and decision making skills
  • Ability to multi-task in a fast-paced environment
  • Excellent interpersonal and team building skills
  • Organization to keep up with periodic/systematic tasks to be accomplished
  • Strong organizational skills with attention to detail
  • Professional oral communication skills
  • Ability to ask for help when needed and follow through on requests from patients and staff
Job Type: Part-time Pay: $12.00 - $18.00 per hour Schedule:
  • Day shift
  • Monday to Friday
Supplemental pay types:
  • Bonus pay
COVID-19 considerations:
You are provided with UV and fluid cleaning supplies. There is a sink next to the front desk for easy hand washing. Masks are optional. Education:
  • High school or equivalent (Preferred)
Experience:
  • Receptionist/customer service: 2 years (Preferred)
Work Location: One location
