I. JOB OVERVIEW



Summary:

The Division for Student Affairs is currently seeking a Event Planner.

  • This position typically coordinates programs, events and activities, working with student organizations, advisors and summer conference group liaison.
  • The core responsibilities of this role are to assist and contribute to the coordination and logistics of all aspects of conferences, meetings and events (pre-planning, onsite execution and post event wrap up).
  • This position will also assist with the scheduling and booking of event space, to provide coordination to ensure event success, and to execute logistic details such as meeting room setup, attendees experience and onsite management.
  • This role may also maintain event calendars, coordinate registration, attendee tracking and other logistics, and assist with post-event details such as surveys, assessment and processing invoices.
  • Coordinates all programs in assigned area of responsibility.
  • Assists and advises student groups and organizations in planning, developing, scheduling, budgeting and marketing their programs; provides counseling on organizational development.
  • Develops communication with campus community to facilitate coordination of programs.
  • Is responsible for thorough knowledge of University and departmental policies and regulations regarding public events, purchasing, building operation, safety, contract negotiations, and for advising others on same.
  • Assists and instructs student groups in making program arrangements for space publicity, special requirements of performers and other program needs.
  • Maintains regular contact with student leaders to develop responsible decision-making, assess student interests, respond to student needs and anticipate student programming/leadership issues.
  • May be responsible for monitoring and supervision special projects such as master building calendar, third party vendors, concessions and assignment of facility space.
  • Designs and conducts on-going workshops and seminars that teach leadership and programming skills.
  • Aids in liaison activities between different campus and off-campus groups and organizations in developing and presenting programs.
  • Collects information on programs available and advises student groups about which programs may best suit their interests/needs.
  • Monitors compliance with all student center policies and procedures and reports violations; and administers disciplinary action and places sanctions on organizations as applicable under said policies.
  • Participates in evaluation of student programs and policies and recommends changes; develops and recommends new policies for student programs and facility usage as student needs and state laws change.
  • Provides on-site supervision of events and programs to oversee student groups, provide support and assist in problem resolution.
  • May serve as resource to assist residence hall staff and councils in the development and management of social, recreational and educational programs.
  • May supervise assistants or students; including practicum students.
  • Performs various general departmental duties such as developing outreach programs and publicity to promote departmental services.
  • Serves on University committee as requested.
  • Develops staff training and development programs for department as requested.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.


Minimum Qualifications:
Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor\xe2\x80\x99s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
