Job Description


Since 2011, Davis Management Group (DMG) has provided creative and practical management of global events and projects. DMG has worked in dozens of countries and every U.S. state supporting critical initiatives of agencies in economic growth, women\xe2\x80\x99s issues, business development, entrepreneurship, and training. DMG seeks a dynamic, detail-oriented Event Planner with extensive event management and event communications experience to provide support to senior leadership for a government client. This position is the principal planner for special events, ceremonies, programs, media engagements, and other public or organizational outreach activities. The event planner will help enable the government client to synchronize across the broader organization and with applicable external organizations to effectively tell their story to relevant internal and external audiences in support of strategic priorities. This position requires assisting the program manager (PM) in synchronizing priorities across the team, assigning tasks, and general performance management for contract team members. This is a full-time position. Must have an active clearance at the SECRET level. The work location for this position will be split between the Pentagon and Ft. Belvoir. Duties and Responsibilities: Event and Engagement Tracking \xc2\xb7 Work closely with government Protocol Officer(s) to track incoming invitations and support protocol needs, to include calendar and agenda coordination

  • Routine coordination with relevant internal stakeholder to ensure early deconfliction and coordination on future engagements
  • Lead team planning meetings, briefings, rehearsals, etc. in support of assigned events
Pre-event Planning
  • Define the event 5Ws (who, what, when, where, and why)
  • Ongoing internal stakeholder coordination (senior leader remarks, Interim Progress Reviews, rehearsal times, travel requirements)
  • Venue research (Ensuring that the venues selected for different engagements are appropriate for the size and purpose of the event)
  • Invite lists, save-the-date notice and invitations
  • Preparing and coordinating event participant list
  • Audience research (Provide information on planned guest/audience; Media invite information)
  • Develop seating plans
  • Coordinate escort duties
  • Coordinate graphics design needs (working with Graphic Designer to design event branding, programs, slick sheets, etc.)
  • Determine and coordinate audio visual (AV) needs (to include onsite photography)
  • Determine and coordinate official honors
  • Coordinate legal reviews (with appropriate legal review office)
  • Coordinate/facilitate printed materials (branding, name plates)
  • Amplification and Marking Plan (Marketing materials; Social media posts; Wrap-up article)
  • Coordinate/facilitate rehearsals and prep sessions
Day-of / Onsite Event Support
  • On-site setup (completed no less than 2hrs before event start time)
  • Facilitate or delegate guest check-in
  • Coordinate security (as needed)
  • Assist photographer (as needed)
  • Event breakdown and printed material (signage) collection
Post-event Evaluation
  • Determine ROI and prepare After Action Reports for government client leadership
  • Coordinate media monitoring to track media hits relevant to engagement
  • Develop and maintain Standard Operating Procedures (SOPs) for recurring events and engagement series to better facilitate effective and efficient planning and execution
Event Communication & Project Management Support \xc2\xb7 Communication Plan development to include event objective, audience and core message identification, and marketing/amplification tactics \xc2\xb7 Assist PM in coordination of contract team activities, providing communication to both vendor and government stakeholders/leaders, and constructing special projects as necessary \xc2\xb7 Assist PM with cross-project/task coordination and staffing management, to include developing cross-training and backfill plans \xc2\xb7 Work with PM and government client to ensure timely delivery of task and deliverables that meet quality standards Required Skills and Qualifications:
  • Bachelor\xe2\x80\x99s Degree in business management, marketing, communications or public relations
  • Minimum 5-7 years of event management and administrative/project experience preferably within the HQDA/Department of Defense environment
  • Experience with military protocol and strategic communications is required
  • CMP or CGMP certification
  • PMP certification preferred
  • Proficiency in the use of Microsoft Office, e-mail applications (Outlook) is required
  • Experience with project management and/or administrative procedures
  • Experience using registration databases and online event platforms
  • Superb written and oral communication skills, client focused with experience interacting with senior level government officials and other stakeholders
  • Self-starter, agile and analytical in approach to ambiguous problem solving
  • Demonstrates a solid commitment to customer service and the goals and values of the company
Job Type: Full-time Pay: $87,000.00 - $92,000.00 per year Benefits:
