We are seeking a dynamic and energetic Sales Associate & Event Coordinator to lead in client bookings, the planning, organization, and execution of a diverse range of events. As an Sales Associate & Event Coordinator, you will be the driving force behind event success, coordinating with vendors, clients, and internal teams to deliver memorable experiences that align with strategic goals. Duties



Fulfillment prospect outreach inquiries via phone, email, or other delegated by management team Assist in conducting client tours during & outside of normal business hours when necessary Handle start-to-finish client communication from initial inquiry to seeing through their event Assist in providing ongoing communication & updates to Event Production, Culinary, Facility, Admin, and VP Handle internal Sales tools & Systems for reservations, payments, and all planning tools to gather, record, and process all client sales & activity from booking to close Assist in follow ups with clients post-event gaining feedback, addressing final payments, and writing thank you cards post-events Oversee event logistics including venue setup, catering arrangements, and all outside vendor load-ins Coordinate with catering teams, banquet staff, vendors, and/or partners to ensure seamless service delivery. Develop detailed timelines for each event and adjusting plans as necessary to stay on target, creating floor plan layouts, & coordinating all linens & equipment orders Upsell additional services or packages during events to enhance guest experience and increase revenue opportunities. Ensure exceptional customer service by addressing guest inquiries promptly and professionally before, during, and after events. Implement effective event management practices including risk assessment, safety protocols, and compliance with contracts. Formulating formal client proposals and contracts Finalizing event plans for each event & sending to team members Attend weekly production meetings

Qualifications



Proven experience in event planning or management within hospitality, hotel, restaurant, or fundraising environments. Strong organizational & multitasking abilities in a fast-paced environment Excellent written & verbal communication skills Proven ability to build and maintain positive client relationships Professional, polished demeanor with strong customer-service skills Ability to think quickly and problem-solve under pressure and ability to maintain Strong attention to detail & ability to manage multiple events/clients at once Excellent marketing acumen to promote events effectively across multiple platforms. Expertise in event marketing strategies including social media promotion and community outreach. Outstanding communication skills for liaising with clients, vendors, team members, and guests alike. Experience in banquet operations or banquet service is highly desirable. Knowledge of contracts management, catering coordination, guest services, and hospitality standards is essential. Familiarity with event management software or tools is a plus. Ability to stand/walk for extended periods during events and ability to lift up to 25-30lbs when needed (chairs, decor, equipment, etc.) Highly dependable and punctual
