DSHS WSH Forms and Records Analyst 3

The (BHA) is seeking a Forms and Records Analyst 3 to work at Maple Lane Forensic Recovery Program (MLFRP) located in Centralia, WA. Our facility houses 30 residents who are adjudicated as not guilty by reason of insanity (NGRI) and court ordered to inpatient recovery treatment.

Our facility plans to open at the end of this year. For now, you will be stationed at DSHS\' office building in downtown Olympia, WA. This is a great opportunity to assist with the set-up of a DSHS facility. We will utilize this time to plan, create procedures, and schedule our opening!

As a Forms and Records Analyst 3 you will be responsible for medical records management. In addition, you will work directly with leadership and/or stakeholders to create documentation, forms, work instructions, tracking documents that pertain to your success as our Forms and Records Analyst 3.

Some of what you\'ll be doing:

  • Oversees, develops, and maintains facility resident records database and forms in PolicyTech.
  • Sends a copy of the form in draft to the requestor to review and provide updated information to add for review and approval to ELT in PolicyTech.
  • Clarify with the requestor, if need be, either in writing or verbally.
  • Directs guides, consults, coordinates, and oversees Forms and Procedures, ensuring the program meets certification regulations, RCW and WAC hospital wide.
  • Creates, designs, and revises manual and electronic/automated forms and layouts, processes form orders.
  • Ensures all forms are updated, organized, and available to patients and staff as needed.
  • Provides information and expert advice

  • Knowledge of basic administrative procedures; office practices; correspondence preparation; state and department policies; management of procedures and practices.
  • Ability to work independently, under little supervision and demonstrate appropriate initiative.
  • Ability to work in a fast paced and changing environment.
  • Ability to work inside of a residential treatment facility around residents who may be in crisis.
  • Ability to develop and maintain effective and professional working relationships with diverse customers and coworkers.
  • High level of organizational skills.
  • Ability to maintain a high level of confidentiality.
  • Ability to adapt and manage emergent situations.
  • Ability to prioritize workload and multi-task.
  • Proficiency in or knowledge of using a variety of computer software applications, Word, Excel, PolicyTech, and other Microsoft Office Programs
Who should apply?

A Bachelor\'s degree in business administration, accounting, industrial engineering, or a related field and two years of experience in forms and/or records management
OR
Equivalent education/experience may substitute for degree/experience.
